We are looking for an experienced and highly organized Executive Assistant to provide broad administrative and operational support. This position blends executive support, office coordination, and human resources assistance, making it a strong fit for someone who can shift smoothly between priorities while maintaining accuracy and discretion. The ideal candidate is confident managing sensitive information, communicating effectively with stakeholders at all levels, and keeping day-to-day activities running efficiently.
Responsibilities:
• Oversee daily administrative workflows by organizing office materials, maintaining filing practices, and supporting efficient internal operations.
• Coordinate schedules for leaders and teams, arrange meetings, prepare agendas, and keep calendars updated to reflect changing priorities.
• Create, revise, and format business documents such as correspondence, reports, presentations, and other business materials.
• Provide direct support to senior leadership by managing appointments, handling travel logistics, and anticipating scheduling needs.
• Prepare meeting packets, document discussion points, and monitor follow-up items to help key initiatives move forward on time.
• Review incoming communications, route requests appropriately, and help executives focus on urgent and high-value matters.
• Assist with talent acquisition activities by posting openings, scheduling interviews, and maintaining clear communication with candidates.
• Support employee onboarding and separation processes, maintain personnel records, and help administer HR documentation in line with company guidelines.
• Contribute to benefits coordination, time-off tracking, training logistics, employee engagement efforts, and routine performance review administration.• At least 3 years of experience in administrative support, executive assistance, human resources support, or a closely related function.
• Demonstrated ability to manage multiple assignments at once while staying organized and meeting deadlines.
• Strong written and verbal communication skills with the ability to interact professionally across all levels of an organization.
• Proven discretion and sound judgment when handling confidential business and employee information.
• Proficiency with Microsoft Office applications; experience with HR platforms or applicant tracking systems is preferred.
• Ability to work independently, collaborate with cross-functional teams, and respond effectively to changing business needs.
• Strong attention to detail, problem-solving ability, and a service-focused approach to supporting leaders and employees.
