· Coordinate with accounting to ensure accurate billing information and supporting documentation.
· Build positive relationships with customers through responsive, professional service.
Purchasing & Vendor Coordination
· Place and track parts orders with vendors in accordance with company purchasing procedures.
· Coordinate with suppliers on pricing, availability, delivery schedules, and order discrepancies.

· Pick, pack, and prepare orders for customer pickup, shipment, or internal service use.
· Label and store parts in designated locations to support accurate and efficient order fulfillment.
· Maintain a clean, organized warehouse and follow company safety procedures.
· Use material-handling equipment only as trained and authorized.
Inventory Management & Team Support
· Maintain accurate inventory transactions and records in the company’s software system.
· Assist with cycle counts, physical inventory counts, and investigation of inventory discrepancies.
· Monitor stock levels and communicate replenishment needs and potential shortages.
· Coordinate with sales, service, and accounting teams to keep parts orders and inventory records aligned.
· Identify practical improvements to parts handling, order accuracy, and warehouse organization.
· Assist with other parts department and warehouse responsibilities as needed.
Qualifications & Skills

· Two or more years of parts sales, customer service, warehouse, or distribution experience preferred.
· Previous experience in an HVAC, mechanical contracting, or related technical-service organization preferred.
· Familiarity with HVAC equipment, replacement parts, and manufacturer parts resources is a plus.
· Experience with Sage 100 accounting or inventory software preferred.
· Comfort using computers, email, Microsoft Office, and order-entry or inventory systems.
· Strong attention to detail when working with part numbers, quantities, pricing, and inventory records.
· Excellent customer-service and communication skills.
· Ability to organize work, manage competing priorities, and follow through on customer and team requests.
· Ability to work independently while collaborating with customers, vendors, and internal departments.
· Dependable, proactive, and safety-conscious approach to daily work.
