About the Role:

We are seeking an organized, proactive Accountant Assistant and Insurance Coordinator to manage customer communications, insurance claims, and billing operations.

In this high-impact administrative position, you will act as the primary liaison between homeowners, insurance carriers, adjusters, and our field technicians. Key Responsibilities:

• Insurance Claim Lifecycle Management: Process incoming insurance work orders through the pre-approval pipeline. Maintain daily communication (phone, text, email) with claimants and adjusters to schedule appointments, process insurance reports/documents, and follow up on collection efforts from carriers.
• Invoicing & Payments: Calculate job pricing (discounts, mileage, additional labor, miscellaneous fees), generate and submit accurate invoices, process customer payments, and manage collection follow-ups.
• Customer Support & Communication: Provide a friendly, confident, and reassuring voice over the phone, helping ease customer stress while maintaining precise documentation and notes.
• Records & Compliance: Maintain clear records of service calls, work orders, and insurance documentation in compliance with company policies.

Qualifications & Core Skills:

• Exceptional Communication: Reassuring, confident phone etiquette with strong business vocabulary and professional email/text etiquette.
• Basic Math Skills: Ability to calculate job estimates, percentages, discounts, mileage, and labor fees accurately.
• Computer Literacy: Comfortable navigating standard office software, including Google Suite (Gmail, Sheets, Word), Microsoft Excel, Teams, and Adobe E-Sign.
• Organizational Mastery: Strong ability to multi-task, prioritize urgent requests, and remain calm under pressure.
• Reliable & Self-Motivated: Strong work ethic, self-managed drive, and a reliable daily commute.

Preferred Skills (Big Plus!):

• Experience in Plumbing, Water Restoration, Property Management, or Construction
• Hands-on experience with Service Titan, Salesforce, or QuickBooks Online
• Geographical knowledge of the local service area and experience working with maps
