Accounting Coordinator - Accounts Payable

Position Summary

Wer are seeking a detail-oriented Accounts Payable Specialist to manage full-cycle accounts payable, provide backup support to accounts receivable, and assist the Financial Controller with special projects. The ideal candidate is organized, proactive, and committed to accuracy, timely payments, and maintaining strong vendor relationships.

Key Responsibilities

• Process and verify invoices, purchase orders, receiving documents, and vendor credits.
• Manage weekly payments, including checks, ACH, and international wire transfers.
• Monitor payment terms and resolve invoice, vendor, and freight billing discrepancies.
• Maintain supplier records, obtain W-9 forms, and set up new vendors in the ERP system.
• Monitor Positive Pay and ACH fraud prevention controls.
• Prepare month-end reports and assist with 1099 preparation, inventory counts, and annual audits.
• Provide backup support for customer invoicing, payment posting, and order releases.
• Assist the Financial Controller with special projects and other duties as assigned.
• Follow company policies and uphold standards for confidentiality, integrity, and workplace safety.

Qualifications

• Associate degree or equivalent experience required.
• Two or more years of relevant experience preferred.
• Proficiency in Microsoft Office and familiarity with ERP or accounting systems.
• Strong attention to detail, organizational and time management skills.
• Excellent communication and customer service skills.
• Ability to manage competing priorities, meet deadlines, and maintain confidentiality.
