Job Description
Title: AI Specialist
Reports To: Director, Information Technology – North America
Experience: 1–4 years
Employment Type: Full-time
Position Summary
The AI Specialist leads the organization’s practical adoption of AI solutions. Note: This is a business process automation and enablement role rather than a data science or AI engineering position. The primary focus is identifying where AI assistants, bots, and agents can eliminate manual workloads, deploying those solutions using low-code platforms, and establishing the training, governance, and strategic roadmap necessary to ensure safe and effective company-wide adoption.
Key Responsibilities
Automation with Bots & Agents
- Partner across departments to identify repetitive, rules-based, or document-heavy tasks suitable for AI or automation.
- Build and maintain agents and bots using Copilot Studio, Power Automate, and similar low-code platforms.
- Document every use case including business problem, process flow (before/after), data sources, functional owner, and measurable ROI.
- Manage and prioritize the AI use-case backlog and report progress to IT leadership.
Training & Change Management
- Develop and deliver tailored AI training for employees across skill levels (from basic prompting techniques to building simple low-code agents).
- Create user resources, including quick-reference guides, prompt libraries, and recorded training sessions.
- Establish and facilitate a network of departmental "AI Champions" to drive grassroots adoption.
- Track utilization of licensed AI tools and advise leadership on licensing optimization.
Strategy & Governance
- Draft and maintain an enterprise AI strategy and roadmap aligned with key business objectives.
- Partner with leadership to author the organization's AI acceptable use policy, ensuring alignment with existing IT security, data classification, and vendor assessment standards.
- Evaluate prospective AI vendors and tools for data privacy, security, cost efficiency, and technical fit.
- Collaborate with the M365 Administrator on data readiness for Copilot (permissions, sensitivity labels, and access controls across SharePoint and Teams).
Required
- Education & Experience: Bachelor’s degree in Information Systems, Business, Computer Science, or a related field (or equivalent experience), plus 1–4 years in business analysis, process improvement, IT, or automation.
- Technical Skills: Hands-on experience applying generative AI tools (Microsoft Copilot, ChatGPT, or similar) to real-world business tasks.
- Low-Code Build Experience: Demonstrated experience building at least one functional bot or workflow automation using low-code tools (Copilot Studio, Power Automate, Zapier, UiPath, etc.).
- Process Mapping: Proven ability to map business processes, identify inefficiencies, and execute automation opportunities.
- Communication: Excellent presentation, training, and stakeholder engagement skills.
Preferred
- Microsoft certifications such as PL-900, PL-200, AI-900, or Copilot Studio specialization.
- Prior experience working within a manufacturing, distribution, or ERP-centered business environment.
- Understanding of core AI risk domains: data leakage, hallucinated outputs, IP considerations, and access management.
- Experience drafting formal IT policies, documentation, or curriculum.
- Familiarity with M365 architecture, specifically SharePoint and Teams permissions.
First-Year Success Measures
- Formally approved Enterprise AI Strategy and AI Acceptable Use Policy.
- 3 to 5 production-ready bots/agents deployed with measurable time or cost savings.
- Departmental AI training delivered company-wide, with active AI Champions embedded across all teams.
