About this job
Job Description
The Production & Cannabis Inventory Manager oversees all operational inventory, post-harvest logistics, compliant product tracking, and inventory reconciliation for our commercial cannabis cultivation facility. This role is responsible for ensuring 100% compliance with New Mexico Cannabis Control Division (CCD) regulations, managing the state-mandated New Mexico Seed-to-Sale System (NMS2S), maintaining vault security, and streamlining post-harvest through packaging workflows.
The ideal candidate possesses exceptional organizational skills, strict attention to detail, and deep familiarity with commercial cultivation inventory workflows (fresh frozen, dry flower, curing, wholesale staging, and waste destruction).
Essential Duties & Responsibilities:
1. State Track & Trace Compliance (CCD / NMS2S)
Oversee and execute all daily data entry, batch creations, transfers, and inventory adjustments in NMS2S and internal ERP software.
Apply, manage, and verify official state plant and package RFID tags across all growth stages, harvest batches, bulk storage, and wholesale finished goods.
Perform required monthly inventory reconciliations (and daily internal spot-checks) across all storage areas, identifying and rectifying any discrepancies between physical inventory and system records.
Prepare state-compliant Manifests (COAs attached) for all wholesale transfers, inter-company movements, or third-party testing laboratory submittals.
Oversee and document state-compliant waste destruction, plant loss, and product disposal per NMAC 16.8 rules.
2. Physical Inventory & Vault Management Maintain a clean, highly organized, and secure primary inventory vault and limited-access storage zones in compliance with NMAC 16.8.2 security standards.
Track bulk biomass, dried flower, fresh frozen, untrimmed material, and finished consumer packaging throughout the cure, tote, and storage stages.
Oversee moisture, environmental monitoring logs, and curing protocols (e.g., bin/tote monitoring, relative humidity tracking) within the inventory vault. Manage non-cannabis production inventory, including packaging supplies, bags, totes, nitrogen flush supplies, labels, and trim/harvest consumables.
3. Sampling, Testing, & Wholesale Logistics
Coordinate with third-party NM-licensed testing laboratories for mandatory compliance sampling and COA (Certificate of Analysis) generation.
Quarantine, label, and segregate all pending test batches in NMS2S and physical storage until passing test results are received.
Prepare and stage wholesale orders, verifying batch numbers, weights, child-resistant/compliant packaging, and state-mandated labeling requirements prior to fulfillment.
4. Operations & Reporting
Collaborate with Cultivation and Post-Harvest Lead Teams to forecast yields, track harvest loss/gain metrics, and monitor post-harvest conversion rates (wet weight to dry weight).
Generate daily, weekly, and monthly inventory valuation and yield reports for management and corporate accounting. Serve as the primary point of contact during NM CCD inventory audits, state inspections, or third-party compliance reviews.
Qualifications & Requirements
Age Requirement: Must be at least 21 years of age (NM State Regulation). Background Check: Must pass a state-mandated background check.
Education: High School Diploma or GED required; Bachelor's degree in Supply Chain, Business, Agriculture, or related field preferred.
Experience:
Minimum 2+ years of direct inventory management experience in a licensed commercial cannabis environment (cultivation, processing, or distribution preferred).
Demonstrated hands-on experience using state-mandated track-and-sale software, specifically the New Mexico Seed-to-Sale System (NMS2S).
Regulatory Knowledge: Firm understanding of New Mexico Cannabis Control Division (CCD) rules under NMAC 16.8, including track-and-trace, packaging, testing, and vault security guidelines.
Technical Skills: Advanced proficiency in MS Excel / Google Sheets, warehouse management software (WMS), and digital metric scales.
Physical Requirements & Working Conditions
Physical Demands: Ability to lift up to 50 lbs unassisted; frequent bending, standing, reaching, and walking across cultivation and vault spaces.
Work Environment: Exposure to agricultural environment, high odor/cannabis terpenes, variable temperature/humidity zones (cure room/vault), and strict security protocol zones.
Key Performance Indicators (KPIs) 0% Audit Discrepancy:
Maintaining a 100% reconciliation match between physical inventory and NMS2S records.
Order Fulfillment Accuracy:
100% accuracy on batch numbers, weights, and manifests for outgoing wholesale shipments.
Loss Minimization: Accurately tracking yield conversion rates and minimizing unaccounted shrinkage across drying, curing, and packaging cycles.
