• Support the Chief People Officer as the primary executive partner while also providing calendar and administrative assistance to the Chief Financial Officer and Vice President of Finance.
• Prepare agendas, organize materials, capture meeting notes, and distribute follow-up actions to keep teams informed and accountable.
• Coordinate senior leadership meetings, offsite sessions, and board-related activities, including logistics, venue arrangements, catering, presentation formatting, and related event details.
• Track milestones, deliverables, and status updates for strategic initiatives so leaders can monitor progress and maintain momentum on key objectives.
• Draft and organize executive communications by gathering input from stakeholders, synthesizing information, and preparing materials for leadership review.
• Arrange occasional executive travel and confirm itineraries, schedules, and supporting details are accurate and well communicated.
• Partner closely with other executive assistants to share coverage, maintain continuity during absences, and contribute to a highly collaborative support model.
• Use tools such as Microsoft Office and project tracking platforms to manage schedules, documents, action items, and ongoing administrative workflows.
• At least 5 years of executive assistant experience, or a comparable background with progressive administrative support for senior leaders.
• Demonstrated success managing complex calendars and high-volume meeting coordination in a fast-paced business setting.
• Strong technical proficiency with Microsoft Office, especially Outlook and Excel, along with comfort learning and using project management tools.
• Excellent attention to detail with the ability to handle sensitive information and complete work accurately.
• Proven ability to anticipate executive needs, adjust quickly to changing priorities, and work with a proactive mindset.
• Experience supporting multiple leaders or operating within a team of executive assistants is highly valued.
• Project coordination or project management experience is preferred.
• Background in healthcare or a similarly regulated environment is a plus.
