Billing Specialist

Job Summary

We are seeking a detail-oriented and organized Billing & Settlement Clerk to join our trucking operations team. In this customer service-focused role, you will work closely with drivers, colleagues, and managers to ensure accurate freight billing and driver payroll settlements.

The ideal candidate has strong data entry and mathematical skills, excellent attention to detail, and the ability to identify and resolve discrepancies. General office, accounting, payroll, or trucking industry experience is preferred, but a willingness to learn and adapt is essential.

Key Responsibilities

• Accurately process driver trips and payroll settlements while meeting weekly and monthly deadlines.
• Ensure freight deliveries are billed to the correct customers for the correct amounts.
• Verify and apply appropriate accessorial charges to freight invoices.
• Research, investigate, and resolve discrepancies related to driver compensation and payroll.
• Develop an understanding of union and non-union payroll policies and procedures.
• Respond to payroll-related questions from drivers and hourly employees in a professional and timely manner.
• Collaborate with managers to ensure accurate documentation of hours worked and compensation earned.
• Maintain accurate records and supporting documentation for billing and payroll transactions.
• Identify errors and inconsistencies and take appropriate steps to resolve them.
• Provide administrative support as needed to maintain efficient billing and settlement operations.

Qualifications and Requirements

• General office, accounting, payroll, or trucking industry experience preferred.
• Ability and willingness to learn trucking industry practices and procedures.
• Strong data entry, keyboarding, and 10-key numeric entry skills.
• Basic knowledge of mathematics and accounting principles.
• Payroll experience is a plus.
• Excellent attention to detail and the ability to identify and correct discrepancies.
• Proficiency in Microsoft Word, Excel, and Outlook.
• Strong organizational, problem-solving, and time-management skills.
• Effective verbal and written communication skills.
• Ability to communicate professionally with drivers, coworkers, and management in person and by phone.
