Position Summary
We’re looking for an experienced Executive Assistant who enjoys a busy day, works well with people, and knows how to keep things organized. You’ll work closely with our CEO and Chief Operating & Growth Officer, support our Board of Directors, and get to know people and programs across the agency.
The CEO’s calendar and day-to-day needs will be your main focus. You’ll also support the Chief Operating & Growth Officer and help coordinate meetings involving other senior leaders. We need someone who can write a good email, handle complicated scheduling, think ahead, and take care of the everyday details without needing to be walked through them.
Key Responsibilities
· Manage the CEO’s busy, changing calendar, including complex scheduling, competing priorities, and meeting requests.
· Provide scheduling and administrative support to the Chief Operating & Growth Officer.
· Coordinate meetings involving senior leaders, Board members, staff, and external partners, including materials and follow-up.
· Organize Board and committee meetings, including agendas, scheduling, meeting materials, logistics, minutes, and records.
· Set up staff and management meetings, including rooms, Teams links, recordings, notes, and related materials.
· Draft clear, professional emails and correspondence; prepare presentations, reports, and other documents.
· Maintain records, complete routine forms and insurance-related paperwork, and coordinate occasional travel.
· Track deadlines, commitments, and follow-up; handle confidential information with care and discretion.
· Use technology to keep information organized, troubleshoot routine issues, and make processes more efficient.
Qualifications
· Experience as an Executive Assistant or in a senior administrative role.
· Advanced Outlook skills are essential, including complex calendars, scheduling conflicts, invitations, and meeting coordination.
· Strong proficiency in Microsoft 365, including Word, Excel, PowerPoint, and Teams.
· Strong writing skills. You should be able to understand the situation and write a clear, professional email without someone having to rewrite it.
· Strong organization, attention to detail, follow-through, and the ability to manage competing priorities.
· Sound judgment, initiative, discretion, and a professional, approachable communication style.
· Comfort learning new technology and using modern tools, including AI, appropriately and responsibly.
Experience supporting a Board of Directors or working in a nonprofit is helpful but not required.
