Job Description
Job Summary

We are seeking an experienced Facilities Manager to oversee the maintenance, safety, security, and daily operations of church buildings and grounds, including a children's learning center.

This position is responsible for ensuring that all facilities remain safe, clean, well-maintained, and ready for daily activities, worship services, and special events. The Facilities Manager coordinates maintenance requests, preventive maintenance schedules, contractors, custodial services, building inspections, and facility improvement projects.

This is a hands-on management and oversight position that requires strong organizational skills, sound judgment, and the ability to coordinate people and resources effectively. Rather than personally performing every maintenance or cleaning task, the Facilities Manager ensures that facility needs are identified, prioritized, assigned, completed, and followed through.

The ideal candidate has experience managing building operations, coordinating maintenance activities, supervising support personnel, and working with outside vendors and contractors.

Key Responsibilities

Facilities & Building Operations

  • Oversee the overall condition, functionality, and appearance of buildings and grounds.

  • Conduct routine facility inspections to identify maintenance needs, safety concerns, and opportunities for improvement.

  • Prioritize facility needs based on urgency, safety, and operational requirements.

  • Maintain accurate records of inspections, repairs, maintenance activities, and facility projects.

  • Ensure buildings and grounds are consistently maintained and ready for scheduled activities.

Maintenance & Preventive Maintenance

  • Coordinate routine and emergency building maintenance and repairs.

  • Develop and maintain preventive maintenance schedules for HVAC, plumbing, electrical, fire safety, and other building systems.

  • Perform minor repairs when appropriate and coordinate qualified contractors for specialized or major repairs.

  • Monitor maintenance projects to ensure work is completed properly, timely, and within budget.

  • Maintain equipment, warranty, contractor, and service records.

  • Identify recurring maintenance issues and recommend long-term solutions.

Vendor & Contractor Management

  • Coordinate outside contractors and service providers for building repairs, inspections, and maintenance.

  • Obtain estimates, evaluate service needs, and monitor contractor performance.

  • Schedule and oversee contracted services.

  • Maintain positive working relationships with vendors and ensure services meet expectations.

Custodial & Grounds Oversight

  • Establish and maintain cleaning schedules and facility appearance standards.

  • Supervise designated custodial and support personnel.

  • Inspect completed cleaning work and address recurring quality concerns.

  • Coordinate contracted cleaning services as needed.

  • Monitor cleaning supplies and facility maintenance inventory.

  • Ensure grounds and exterior areas remain clean, safe, and presentable.

Safety & Security

  • Oversee building opening, closing, and security procedures.

  • Maintain key control and building access systems.

  • Monitor emergency exits, fire safety equipment, and general building safety conditions.

  • Identify potential hazards and coordinate corrective action.

  • Ensure facility safety concerns are communicated and addressed promptly.

Work Orders & Facility Requests

  • Receive, evaluate, prioritize, assign, and track facility maintenance requests.

  • Monitor outstanding work orders and follow up to ensure timely completion.

  • Acknowledge emergency maintenance requests within one hour.

  • Communicate significant facility concerns, project updates, and unresolved issues to church leadership and the Building and Grounds Committee.

  • Maintain an organized system for tracking requests and documenting completed work.

Events & Facility Coordination

  • Coordinate building setup, maintenance, and cleaning requirements for worship services, weddings, funerals, and special events.

  • Ensure facilities are properly prepared before scheduled activities.

  • Coordinate setup, breakdown, and additional cleaning needs with designated staff and vendors.

Budget & Administrative Responsibilities

  • Assist with developing and monitoring the facilities and maintenance budget.

  • Track facility-related expenses and identify cost-effective maintenance solutions.

  • Maintain organized records of vendor agreements, estimates, invoices, inspections, and maintenance activities.

  • Identify anticipated repairs, equipment replacements, and future capital improvement needs.

Qualifications & Experience
  • Previous experience in facilities management, building maintenance, property operations, or a related field.

  • Experience coordinating maintenance activities, contractors, vendors, and service providers.

  • Working knowledge of building systems, including HVAC, plumbing, electrical, and general maintenance.

  • Experience developing or managing preventive maintenance schedules.

  • Ability to oversee custodial services and coordinate support personnel.

  • Strong organizational, communication, and problem-solving skills.

  • Ability to prioritize multiple requests and manage competing deadlines.

  • Basic computer skills, including email, recordkeeping, and work order tracking.

  • Ability to perform minor maintenance tasks and recognize when specialized contractors are required.

Preferred Qualifications
  • Experience managing facilities for a church, school, nonprofit, healthcare organization, or commercial property.

  • Experience with building inspections, safety procedures, and emergency preparedness.

  • Familiarity with facility maintenance software or work order management systems.

  • Experience assisting with maintenance budgets and capital improvement planning.
