Position Overview

An established, boutique private gastroenterology practice in South Orange County is seeking an experienced, dependable, and highly professional Clinical Medical Staff Lead. Serving as the frontline leader and primary coordinator of the practice, you will oversee daily clinic workflow, support and train team members, and ensure seamless delivery of high-touch, concierge-level patient care.

This role is ideal for a seasoned Medical Assistant or Lead who thrives in a collaborative, close-knit environment, takes ownership of operational and clinical coordination, and is looking for a long-term professional home.

Key Responsibilities

Clinical & Front-to-Back Office Operations

  • Serve as a cross-trained clinical anchor, handling both front- and back-office patient workflows seamlessly.
  • Greet patients, complete check-in/out, manage registration, verify insurance information, and collect copayments.
  • Room patients, record vitals, document chief complaints, and assist the physician with clinical charting.
  • Provide thorough, compassionate preparation instructions for gastroenterology procedures.
  • Manage phone triage-evaluating acute patient concerns requiring immediate physician escalation versus routine clinical inquiries.
  • Process prescription refills and coordinate imaging orders under physician guidance.

Staff Leadership & Workflow Coordination

  • Oversee and support daily operations for a team of 3-4 staff members (full-time, part-time, and student trainees).
  • Manage master shift scheduling, monitor coverage, and resolve daily staff call-outs promptly.
  • Onboard, train, and mentor new clinical support staff and medical student scribes.
  • Partner closely with the practice physician and administrative office management to maintain smooth daily office operations and elevate the patient experience.

Qualifications & Requirements

Required:

  • Education: Medical Assistant Diploma or Certification from an accredited program.
  • Experience: Strong background performing both front- and back-office clinical duties within an outpatient or private practice setting.
  • Longevity: A demonstrated track record of job stability and consistent tenure.
  • Technology: Demonstrated proficiency with Electronic Medical Records (EMR) systems.
  • Communication: Exceptional verbal and written English communication skills; professional, articulate phone and in-person presence.
  • Compliance: Ability to pass standard clinical compliance clearances (background check, drug screen, and TB testing).

Preferred:

  • Prior experience as a Lead Medical Assistant, Back Office Lead, or in a clinical supervisory capacity.
  • Experience with eClinicalWorks EMR.
  • Prior specialty experience in Gastroenterology (GI) or boutique/concierge private practices (comprehensive training on GI protocols will be provided).

Core Attributes:

  • High emotional intelligence, maturity, and a warm, patient-first demeanor.
  • Dependable problem-solver capable of operating with high autonomy and discretion.
  • Natural leadership presence with a supportive, team-oriented coaching style.

What We Offer

  • Close-Knit, Boutique Environment: Work in a beautiful, open-concept medical suite within a premier medical building, serving long-standing, multi-generational patient relationships.
  • Supportive Culture: Join an appreciative, tight-knit team that values dedication, celebrates team milestones, and hosts company dinners and appreciation events.
  • Comprehensive Benefits

For California Applicants:

We will consider for employment all qualified Applicants, including those with criminal histories, in a manner consistent with the requirements of applicable federal, state and local laws, including the City of Los Angeles' Fair Chance Initiative for Hiring Ordinance (FCIHO), Los Angeles Fair Chance Ordinance for Employers (ULAC), The San Francisco Fair Chance Ordinance (FCO) , and the California Fair Chance Act (CFCA).
