About the Role
California Surgical Specialists is hiring a full-time Surgery Coordinator to schedule and manage surgical cases from consult to day of surgery. You'll be the main point of contact for patients, surgeons and hospital scheduling teams, making sure every case is authorized, booked and prepped on time.
We are a growing surgical practice with offices in Upland and Glendora, serving patients across the Inland Empire and San Gabriel Valley. Our surgeons operate at San Antonio Ambulatory, San Antonio Regional Hospital, Queen of the Valley, Pomona Valley Hospital and Citrus Valley.
What You'll Do
- Schedule surgeries and procedures with hospitals and surgery centers, including booking through facility portals (e.g., iQueue)
- Enter and maintain each case on the surgeon's Google Calendar, in AdvancedMD and on the facility's schedule so all three match
- Verify insurance eligibility and benefits, and obtain prior authorizations from commercial plans, Medicare, Medi-Cal managed care and IPAs
- Explain the surgery date, location, arrival time, pre-op instructions and estimated patient responsibility to each patient, in English and/or Spanish
- Coordinate pre-op requirements: labs, imaging, EKGs, medical and cardiac clearances, and history & physicals
- Call every patient one week before surgery to confirm insurance, clearances, instructions and transportation
- Send complete surgery packets (orders, consents, H&P, authorization) to facilities ahead of the case
- Manage reschedules and cancellations and notify the surgeon, facility and patient promptly
- Schedule post-op follow-up visits and track cases from booking through post-op
- Work closely with surgeons, medical assistants, front desk and billing to keep cases moving
What You Bring
Required
- 2+ years of surgery scheduling, prior authorization or front/back office experience in a medical practice
- Working knowledge of insurance types: HMO, PPO, Medicare, Medi-Cal and IPA/medical group referrals
- Familiarity with medical terminology and CPT/ICD-10 codes
- Strong organization and follow-through, with the ability to manage many cases at once
- Clear, compassionate phone and in-person communication with patients
- Comfort with EHR/practice management software, Google Calendar and online payer portals
- High school diploma or equivalent
Preferred
- Bilingual English/Spanish
- Experience with EMR
- Experience scheduling with hospitals and surgery centers
- Medical assistant certificate or medical office administration training
