Rental Coordinator Administrative

Position: Rental Coordinator
Job Type: Full-Time
Schedule: 7:30AM - 5PM Monday–Friday

Job Summary

We are seeking a dependable and organized Rental Coordinator to support daily rental operations. This position will coordinate rental equipment orders, assist customers, track equipment availability and returns, prepare rental documentation, and communicate with warehouse and operations teams.

Responsibilities

• Process rental orders, reservations, returns, and exchanges
• Coordinate equipment availability, pickup, and delivery schedules
• Prepare rental agreements, quotes, invoices, and related paperwork
• Assist customers by phone and email with rental needs and order status
• Track equipment coming in and out of the facility
• Coordinate with warehouse/shop personnel to ensure equipment is ready
• Inspect and document returned rental equipment
• Maintain accurate customer and equipment records
• Follow up on outstanding rentals and scheduled returns
• Assist with inventory and general administrative duties

Qualifications

• Previous rental equipment, tool rental, warehouse, or industrial experience preferred
• Strong customer service and communication skills
• Good computer and data-entry skills
• Ability to handle multiple orders and priorities in a fast-paced environment
• Strong attention to detail and organizational skills
• Experience with Microsoft Office/Excel preferred
• Dependable with a strong work ethic
