Well established Dayton non-profit organization is seeking a part-time Volunteer and Administrative Coordinator position.

 

The Volunteer and Administrative Coordinator supports the organization’s administrative functions, including recordkeeping, clerical support, phone support, and communications with external partners and stakeholders.  The position also coordinates volunteer recruitment and training working closely with the Grants Manager and department heads to determine volunteer needs and position descriptions positions.

 

Specific responsibilities include:

  • Provides administrative support to the Executive Director
  • Participates in staff meetings convened by the Executive Director
  • Coordinates all meetings with staff, donors, and volunteers as requested by the Executive Director with participation as requested
  • Participates in an annual performance development plan to review progress in the position as required by the Executive Director
  • Maintains Board of Trustees minutes and records
  • Prints and distributes all appropriate meeting agendas, Minutes, and materials for staff, board, volunteer, and partner meetings as requested by the Executive Director
  • Coordinates volunteer recruitment and training
  • Develops volunteer job descriptions working with department heads as appropriate
  • Maintains volunteer database
  • Manages all incoming phone calls
  • Implements all direct mail programs and oversees their distribution
  • As directed, oversees the purchasing of promotional items and services

 

Qualifications for this position include:

  • A high school diploma with a minimum of two years post-secondary education from an accredited college or university.
  • A minimum of five years customer service experience, preferably in a non-profit environment.
  • Candidate must have strong communication skills including above average command of the verbal and written word.
  • Candidate must possess above average computer literacy including, Microsoft Office Suite, specifically Word, Excel and Outlook and a working knowledge of common office equipment.
  • Well organized and able to handle multiple tasks and shifting priorities.
