Office Management

A small quiet office overseeing fifteen food Franchises throughout Southern Maine. We are looking for a high energy, motivated and self-directed full time office management professional to join our team. The ideal candidate is an experienced administrative professional who would like to work in a small company and handle a wide range of responsibilities.

As our Office Manager, you will be responsible for all aspects of managing our four business entities which may include but is not limited to: providing support to our owners, managers, and staff, managing a part time assistant, handling correspondence with vendors and contract accounts, checking and balancing weekly store numbers/reports including payroll, maintaining a company calendar, preparing invoices and working with both online and USPS bill paying, create job ads and filter resumes, respond immediately to urgent operational issues such as equipment malfunctions, monitor e-mails/phone/voicemail messages, respond to customer feedback per company policy, place supply orders and assisting in backend processes for new store setup.

Requirements:

* Must be professional and a proven team player with a positive attitude
* Be comfortable working in a small office environment (one full time/one part time person, Monday- Friday 8am-4pm with some flexibility)
* Exceptional communication skills both verbal and written
* Excellent record keeping skills and accurate accounting
* Capable of multi-tasking, prioritizing, managing time efficiently, and designing/managing projects from start to finish including creating and updating reports to show results
* Ability to come up with solutions to everyday problems
* Able to prioritize and work independently with minimal supervision, as well as being able to perform with interruptions.
* Proficient in MS Office programs, including excel, and have the aptitude to learn basic computer programs quickly.
* Experience using Quickbooks and/or other accounting programs is a must
Qualifications include a minimum 2 years of in charge office management experience.
