COMPANY OVERVIEW

A Florida corporation established in 1992 within the newly emerging debt buying industry, the firm's principle focus is the acquisitions and collection processing of heavily discounted and mostly non-performing consumer loans purchased from their original credit providers.  During the past years Oliphant Financial has experienced a strong measure of rapid growth and is now seeking out other more efficient avenues for financing its debt acquisitions and organizational expansions. 

 

POSITION SUMMARY

The Administrative Assistant is responsible to perform varied administrative duties that require initiative and independent judgment. Performs work independently under general direction by the VP of Agency & Legal Outsourcing and Inventory Management.  Handles problems and non-routine situations by determining the approach or action to take and interprets guidelines, procedures, policies and practices. May have contact with high-level administrative offices and external vendors requiring use of business vocabulary, tact, discretion and judgment.

ESSENTIAL FUNCTIONS

  • Internal letter printing
  • Assists with the collections letter series review to assure compliance
  • Bankruptcy Mail Sorting
  • Provide front desk coverage
  • Litigant Hit Scrubs and Verification process
  • Handling client requests and inquiries (JH and Evine Live)
  • Weekly SIF/PIF Reports for clients
  • Process lawsuits, complaints, counterclaims (notate and disposition accounts, add to complaints log and/or tracking sheet, notify the Legal Department, etc.)
  • Process incoming consumer correspondence
  • Account Exceptions Processing (Disputes, C&D Request, Deceased, Bankruptcies, etc.)
  • Prepares semimonthly outsource agencies performance report
  • Process settlement request from outsource agencies
  • Process media requests from outsource agencies
  • Process recalls and closure reports from outsource agencies
  • Process CCCS Accounts. Scrubs, follow-up, and payment processing
  • Process Oliphant Service of Process Notifications
  • Process incoming debtor, internal, and outsource agency correspondence (e-mail, mail, & fax)
  • Process JH Portfolio account issues via Debt Next.
  • Contact Append files process from JH & other clients if applicable
  • Process time-barred restrictions
  • The duties of this position are subject to change at the discretion of the Company. Management is authorized to assign other duties at any time. Any employee may be assigned, temporarily or regularly, to another position at any time.

 

ADDITIONAL RESPONSIBILITIES

  • Mail processing - incoming and outgoing (Back-up)
  • Mail processing - return mail (Back-up)
  • Process daily bankruptcy scrubs and disposition accounts and deceased scrubs and disposition accounts.  Recall accounts from agencies and attorneys (Back-up)
  • Bankruptcy Sale and Placement files (Back-up)
  • Media processing (Back-up)
  • Live Chat Line Operator
  • Assist with special projects in support of other internal departments, to include but not limited to the following departments: Acquisitions & Sales, Operations, and Human Resources
  • Assisting Operations Manager by preparing, printing, and posting forms, memos, and sign-in sheets

 

JOB REQUIREMENTS

  • High School Diploma or equivalent is required
  • At least 2 year of experience in administrative support is preferred but not required
  • Bi-Lingual is a plus, but is not required
  • Basic reading, writing, and arithmetic skills required
  • Basic understanding of FDCPA, FCRA, FTC, and HIPPA as it applies to debt collection is preferred, but not required
  • Bankruptcy knowledge is a plus, but is not required
  • Ability to work in a team environment
  • Moderate computer skills with Microsoft Office products (such as Word, Excel, PowerPoint, and Outlook), and the ability to learn new computer software is required
  • Maintains employee confidence and protects operations by keeping information confidential
  • Regular & Punctual attendance at work
  • Mandatory overtime may be required at times designated
  • Confidentiality a must

 

Work Context

Typical Physical Requirements: 

  • Sit for extended periods; frequently stand and walk; verbal communication; use of office equipment, including computer, telephone, calculator, copiers, and fax.

Background Check Requirements:  

  • This position requires successful completion of an initial and annual criminal history background check.

WORK SCHEDULE

The Administrative Assistant is assigned to work the following schedule:

  • Monday thru Friday

 

Base Pay:

  • Starting wage is $12 per hour.
