Job Summary: Provide Administrative and Operational Support to the Base Operations Departments, Managers and to the Director of Base Operations.

 This position requires a well organized individual with office experience and a high level of computer literacy. The Administrative Assistant will work with the reporting departments and their systems specifically while complying with company standards. 

 

Responsibilities: 

  • Working with department managers to track, organize, and process their business operations systematically to Vail Resort standards
  • Assist all reporting departments with ordering operating supplies, materials, tools & equipment
  • Responsible for shopping better alternatives for operating expenses for reporting departments
  • Assisting managers with T&L
  • Assist Department Managers with employee paperwork as needed
  • Assist the Director with projects that require a higher level of understanding of business performance and practices.
  • Assist the Director with accountability in all aspects of business performance. 
  • Assist Director in building and monitoring department budgets
  • Manages checkbooks for all departments and work with managers on monitoring budgets
  • Coaches, seeks counsel and advises management as needed regarding a variety of issues and problems or potential problems.  Is responsible for keeping the department informed, in a timely manner, of all issues the Administrative Assistant becomes aware of affecting, or which may affect, employees, management or ownership.
  • Jump into operations where needed - cross trained and acting as a team leader in all departments.
  • Performs routine office tasks which include, but are not limited to, record keeping, radio dispatching, updating policies and procedures,  handling phones, mail,  coordinating meetings, travel arrangements, establishment and maintenance of filing systems.
  • Mountain money issuance and tracking
  • Receives all resort maintenance requests and dispatches them in a timely manner
  • Follows up on resort maintenance requests for completion and quality control
  • Manages Landport software system
  • Works with outside contractors to schedule estimates and repairs
  • Initiates contracts, CAF’s and other legal documents as required for outside contractors
  • Manages capital expenses
  • Works within Coupa to create and manage requistions
  • Manages all accounting forms and paperwork
