RECEPTIONIST   POSITION SUMMARY

 

The Receptionist will report to the Coordinator, Administration and will primarily be responsible for our corporate reception. This position will attend to visitors, take inbound phone calls, distribute mail, and act as the first friendly face to the company s clients, partners, vendors, and visitors.  The Receptionist will also provide administrative support and complete ad hoc projects as needed.

 

ESSENTIAL FUNCTIONS

 

        Answer corporate phone line and distribute calls or take professional messages.

        Answer front door and greet visitors graciously.

        Receive, sort, and deliver mail.

        Tidy conference rooms before & after meetings.

        Housekeeping tasks including but not limited to:

o   Taking out trash if needed.

o   Tidying up after catering.

o   Acting as the go-to person if there is spill or mess that requires immediate attention.

        Manage conference room calendars.

        Order and maintain inventory of supplies.

        Perform additional administrative duties to support staff when called upon.

        Complete data entry and other on-demand projects.

 

 QUALIFICATIONS AND COMPETENCIES

 

  • Minimum of one year related work experience preferred.
  • Some college experience preferred.
  • Knowledge of Microsoft Outlook, Word and Excel.
  • Customer-service oriented. Professional, positive, polished, diplomatic, and cooperative are required characteristics.

        Good working knowledge of office procedures and office management.

        Excellent planning and organizational skills.

        Ability to quickly adapt to changing and challenging situations.

        Demonstrated ability to build strong and open working relationships.

        Excellent telephone receptionist skills with excellence in telephone etiquette.

        A desire to be a gracious host.

        An attitude that demonstrates that no job is too big or too small.
