Job Description

International Department Manager 
Responsibilities include providing administration and operation. Supports International Department staff through a variety of tasks related to organization and communication. Relies on experience and judgement and provides a wide degree of creativity and latitude in problem resolution in order to accomplish goal. Familiar with a variety of the field’s concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality within a timely manner. Responsible for confidential and time sensitive material. 

Responsibilities include but not limited to:
•Order processing –
oReceive PO and follow order process
oConfirm with Account Manager details, communicating effectively 
oCheck account for accounting status (past dues, credit limits, and/or upcoming payments)
oAttempt to upsell 
Case counts
Promotions
Introducing items that have not been purchased
Upsell to meet sku Dept. goals
oAdd on credits/incentives with Account Manager’s knowledge
oFollowing each customer’s special requirements throughout order process
oCommunicate effectively with customer throughout order process with constant follow-up
oManage order process 
oCommunicate with warehouse on order and any special needs/instructions
oCommunicate status on inventory with staff and customers
oShip quotes: requesting with warehouse, providing detail and options to customers, follow-up
oConfirm shipment and tracking with customers
oManage Shipping Profiles for each distributor and update as necessary to ensure shipment requirements are met for every shipment
oCollect Bill of ladings when requested for auditing purposes
oUsing logic to ensure customer’s and business needs are taken into consideration during ordering process
•Returns management –
oRespond to complaints and update distributor through the process
oCommunicate with Ops, if necessary (large returns, defective lots)
oArrange RMA and labels 
oConfirm returned product and crediting  
•Accounting –
oCollections
oPayment reminders
oCredit Card transactions
oCredit Memo submissions
oWire notifications to Accounting- Incoming
oWire requests- Outgoing
oensuring all expenses on expense reports follow the proper GL code according to our budget
ofor every expense according to budget and receipts are included on all expense reports
•Administrative –
oOrganize and schedule meetings/appointments for Dept. Staff when necessary
oMaintain contact distribution lists
oProduce and distribute correspondence memos, letters, faxes and documents
oAssist in the preparation of regularly scheduled reports
oMaintain filing system (hard copies and digital copies)
oGenerate reports 
oHandle multiple projects
oContribute to team effort by accomplishing related results as needed
oCarry out administrative duties such as filing, typing, copying, binding, scanning etc.
oOrganize travel arrangements for senior managers as requested
oWrite letters and emails on behalf of other office staff as requested
oBook conference calls, rooms, couriers, hotels etc.  
oHandle sensitive information in a confidential manner
oReply to email, telephone, or face to face inquiries
oCreate/implement SOPs for administrative tasks
oResolve administrative problems independently
oReceive, sort, and distribute department mail as needed
oGreet, assist, and provide general support to visitors 
oPhotocopy and print out documents on behalf of other colleagues
oHeavy data entry
oOrder necessary stock (Product and Office Supplies)
•Customer service – 
oUnhappy customers or special needs on case by case basis – problem solving
oEscalation of such support
oReferencing and providing to customers approved official responses to complaints
oCommunicate with other departments when necessary 
oSubmit uncommon questions/complaints to Project Manager 
oSubmit web inquiries received to contracted distributor for that country

Requirements: 
•Managerial experience 
•Knowledgeable in office management systems and procedures
•Excellent time management skills and ability to multi-task while prioritizing duties
•Attention to detail and problem-solving skills
•Excellent written and verbal communication skills
•Knowledgeable in international logistics a plus
•Strong organizational, record-keeping and planning skills
•Highly Proficient in MS Office; Microsoft NAV experience a plus
•High school diploma or equivalent; college degree preferred
