Description
  • Initiate, track, and maintain accurate records for certificate of occupancy, ensuring the District is following all fire department regulations and requests.
  • Act as a liaison between the City of Dallas and the District for permits and certifications and licenses.
  • Project budget expenses related to certifications and training needs for the District yearly.
  • Provide monthly and ad hoc reporting related to certifications  and training.
  • Utilize Oracle procurement software to complete receivers and maintain vendor accounts; process and maintain payments and documentation for permit fees; and notifications for state regulatory agencies, vendors and contractors. 
  • Disseminate information to the public by generating or editing documents and correspondences. Respond to inquiries from staff/public in an accurate, knowledgeable, efficient, and responsible manner; direct to appropriate staff for response as needed.
  • Maintain program records and files, including certificates, floor plans, and internal documents with confidentiality.
  • anCorrespond with the Fire Marshall, City of Dallas and/or District by email, in person, or phone. Participate in inspections of campuses and non-instructional buildings in the District with the Fire Marshall or City of Dallas representative.  
  • Work with other District departments such as Construction Services, Custodial Services, Emergency Management, and Risk Management to address issues related to fire inspections and/or requests from Fire Marshall.
  • Prepare all documents including letters of intent, official request letters to the City, notices, instructions, and specifications.
  • Provide timeline of when compliance items will be updated and/or completed.
  • Develop, implement, and maintain an annual Cyclic Maintenance Schedule for the assigned maintenance crafts.
  • Serving as liaison between Maintenance Services and the schools within assigned area of responsibility.
  • Provide exemplary technical knowledge of the work order system. Review, accept, assign, print, open and close work orders on a daily basis.
  • Prepare, create, and modify statistical reports from the work order system, identifying work order status as requested.
  • Work with supervisors to create a budget in the work order system for all purchases.
  • Work closely and correspond with other departments in Dallas ISD such as Electrical, Plumbing, Grounds, and HVAC, etc.
  • Report and resolve maintenance issues to improve safety conditions in District facilities.
  • Perform all other tasks and duties as assigned.


Qualifications
  • High School diploma or USA equivalency.
  • Two (2) years formal job-related training, associate degree or equivalent to three (3) years of job specific experience.
  • Advnced knowledge of city ordinances and fire regulations.
  • Knowledge of Enterprise Resource Planning software, proficient preferred.
  • Proven ability to present a positive image for the District, maintain professional demeanor, provide effective customer service and make good decisions.
  • Knowledge of District organizations, operations, and administrative policies, preferred.
  • Proven skills in using Microsoft Office Professional and other business analysis software.
  • Ability to communicate clearly and effectively, both orally and written, at all District levels.
  • Demonstrated ability to keep accurate records and filing systems.
  • Demonstrated ability to communicate within diverse community and district, staff members and the public at large.
  • Demonstrates exemplary organizational, problem solving and investigative skills.
  • Demonstrated ability to manage inventory programs to keep up with tools, equipment, materials, and shop stock.
  • Must maintain a valid Texas Driver's license and have a driving record that meets District standards
  • Must pass a Dallas ISD random drug test.
  • Ability to speak in Spanish is a plus.
