Job Description
We are seeking an Office Assistant to join our team! You will perform clerical and administrative functions in order to drive company success.
Responsibilities:
Manage and maintain executives’ schedules.
Open, sort, and distribute incoming correspondence, including faxes and email
File and retrieve documents, records, and reports.
Greet visitors and determine whether they should be given access to specific individuals.
Prepare responses to correspondence containing routine inquiries, answer phones, and direct calls to appropriate staff.
Assist other office staff / Assist in transportation of foster children when the need arises
Builds applicant sources by researching and contacting community service events, providing organization information by word of mouth, flyers, making presentations, and maintaining rapport with potential foster parents. Coordinate tabling events.
Other duties include assisting administrative staff with clerical duties as assigned and as needed.
Procuring all office supplies as needed including advertising and tabling at events.
Responsible for Agency auto Maintenance
Converting Company forms from Word Document to Adobe writeable document
Qualifications:
- Previous experience in office administration or other related fields
- Ability to prioritize and multitask
- Excellent written and verbal communication skills
- Strong attention to detail
- Strong organizational skills
- High School Diploma or G.E.D and
- experience in working with children.
- The position also requires current CPR Certification, negative TB test, Bloodborne Pathogen Training, and First Aid training plus an understanding of the use of car seats.
- Knowledge of Microsoft word, excel, PowerPoint and Outlook.
- This position requires a current California Drivers's License, yearly DMV printouts, and must qualify for coverage by the agency’s automobile insurance carrier and be able to pass the agency’s screening for driving on LifeCare Coalition Outreach FFA business or transporting children in LifeCare Coalition Outreach FFA vehicles.
- The ability to interact in a clear and professional manner with other care providers is essential.
- The physical demands of the job require a significant amount of physical lifting, bending, standing, and walking.
