Job Description Summary

This is a fixed-term position.

Under the direct supervision of the Associate Registrar, the incumbent will have primary oversight of graduate student records (SJD, LLM, and MSL programs) ensuring accurate maintenance under FERPA and Law School policy and procedure. Will assist the Academic Affairs team with this population in ensuring timely completion to degree (registration and degree audit), processing leaves of absence and impacts to time to completion, as well as draft letters of verification for international sponsorship. Will coordinate with the School of Medicine on special MSL student populations. Additionally, will work closely with the Associate Registrar and Records Assistant in the building of the class schedule in the Student Information System, troubleshooting registration related activities, and in Exam Administration for all programs each semester. This is a temporary/fixed term position with a tentative end date of December 2024 (may be extended based on implementation project).

Job Description

Records Maintenance

  • Under the advisement of the Associate Registrar, assists in the maintenance of student records both physically and digital under FERPA best practice for SJD, LLM, and MSL students.
  • Assists the Law Registrar's Office in the administration of all academic policies related to the non-JD programs.
  • Coordinates registration in thesis/seminar-paper and/or dissertation for students and faculty supervisors (LLM and SJD).
  • Processes leaves of absence and impacts to graduation dates.
  • Audits degree progress for all graduate programs and provide expected graduation reports to Academic Affairs team.
  • Coordinates with School of Medicine Registrar with DNP (Doctor of Nursing Practice) in enrolling in MSL courses each semester and appropriately process each cohort of ELP students (Emerging Leaders Program - joint MSL and MMS Physician Assistant program).

Communications and Verifications

In a timely manner, process all:

  • Enrollment verifications for SJD, LLM, and MSL students.
  • Requests for international sponsorship verifications.
  • Similar types and/or other FERPA related disclosures for graduate students.
  • Communicate schedule and registration processes to graduate students.

Term Schedule, Registration, and Exam Administration

  • Assists the Law Registrar team in building the class schedule in the SIS and assists in troubleshooting registration related issues.
  • Each semester, participates in collecting necessary information from faculty in order to create exams in ExamSoft.
  • Assists in the actual exam creation process, sending out access notifications to students in the appropriate timeframe, and related functions.
  • Assists in keeping student and faculty adherence to all exam related policies including hardships and accommodations.

Other

  • Maintain and provide a professional presence for in-person inquires.
  • Timely respond to phone and email inquires.
  • Will perform additional and/or other work as assigned (e.g. ad hoc projects, reporting, assist with graduation and hooding ceremonies).

Accountabilities

Works under minimal supervision. Reports to the Law School Associate Registrar.

Required Qualifications

  • Bachelor's degree and 2 or more years of related experience, or an equivalent combination of education and experience.
  • Experience in higher education administration setting (i.e., admissions, student records and/or advising) and with student information systems.
  • Must have a high-level of attention to detail and accuracy, possess excellent communication and interpersonal skills, and strong ability to multitask and efficiently manage multiple priorities at a time.
  • Must be proficient with Microsoft Office software and Google suite products.

Preferred Qualifications

  • Preference will be given to candidates with higher education experience in a Registrar's Office, a Law School context and/or Law Registrar's Office.
  • Knowledge of Ellucian Banner and/or working knowledge of Workday Student.
