Job Description

Purpose: Serves as initial contact for all callers and visitors to the organization and reports to the Customer Service Manager. You must be dedicated every step of the way to ensure 100% internal and external customer satisfaction.

Duties are varied and may include:

  • Answers, screens, and directs calls on a multi-line phone system courteously and professionally; takes messages and/or forwards telephone calls to appropriate employee, voice mail, or pager.
  • Meets and greets all visitors; determines their needs and directs them to the appropriate employee/locations.
  • Responds to visitors, clients, and employees courteously and professionally.
  • Opens and routes incoming e-fax correspondence.
  • Prepares and forward customer documents (Show Labels and Information) accordingly.
  • Prepares and forwards inbound/outbound mail and packages.
  • Performs general clerical duties, including but not limited to filing, photocopying, scanning, faxing, and mailing as required.
  • Organizes and maintains CRM file system; files correspondence and other records in CRM files.
  • Orders and maintains supplies, arranges for equipment maintenance, and keeps the reception area organized.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Performs other related duties as assigned by management.

Qualifications:

  • Two to four years related experience, or equivalent combination of education and experience.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office applications.
  • Strong interpersonal skills.
  • Ability to understand and follow written and verbal instructions.
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Commitment to excellence and high standards.
  • Strong organizational skills; able to manage priorities and workflow.
  • Keystrokes a minimum of 45 wpm.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace.
  • Bilingual skills are a plus.
  • Professional appearance and demeanor
  • Ability to perform diversified clerical functions and basic accounting procedures.

Physical Requirements:

  • Stand or sit (stationary position) – Must be able to remain in a stationary position 50% of the time.
  • Walk (move, traverse) – Must be able to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Use hands/fingers to handle or feel (operate, activate, use, prepare, inspect, place, detect, position) – Constantly operates a computer and other office productivity machinery (i.e., calculator, copy machine, computer, printer, etc.).
  • Climb (stairs or ladders), or balance (ascend/descend, work atop, traverse) – Occasionally ascends/descends stairs.
  • Talk/hear (communicate, detect, converse with, discern, convey, express oneself, exchange information) – Frequently communicates with co-workers, customers, and vendors.
  • See (detect, determine, perceive, identify, recognize, judge, observe, inspect, estimate, assess) – Must be able to see computer monitors, see documents, etc.
  • Occasional lifting up to 25lbs.
  • Travel via automobile occasionally. Must be able to drive oneself.
