Job Summary: We are seeking a highly organized and detail-oriented Office Clerk / Booking Specialist to join our team specializing in custom car restoration. As an integral part of our company, you will be responsible for managing various administrative tasks, handling bookings for custom car restoration projects, and ensuring smooth communication between clients, technicians, and management.

Responsibilities:

  1. Booking and Scheduling: Receive inquiries from clients interested in custom car restoration services. Schedule appointments for consultations and assessments with our restoration experts, ensuring efficient use of resources and time.

  2. Client Coordination: Act as the primary point of contact for clients throughout the restoration process. Provide updates on the status of their projects, address any concerns, and maintain excellent customer service at all times.

  3. Administrative Tasks: Assist with general office duties such as filing, data entry, and managing documentation related to ongoing projects. Keep records up-to-date and maintain an organized filing system for easy retrieval of information.

  4. Inventory Management: Track and manage inventory of spare parts and materials necessary for the restoration projects. Coordinate with the procurement team to ensure timely availability of required items.

  5. Billing and Invoicing: Prepare accurate invoices for completed projects and any additional services provided. Coordinate with the accounting department to ensure timely and correct billing.

  6. Quality Control: Collaborate with the restoration team to ensure that the completed work meets high-quality standards before delivery to clients.

  7. Communication: Facilitate clear and effective communication between clients, technicians, and management. Ensure that all parties are aware of project timelines, progress, and any potential delays.

  8. Problem-Solving: Address any issues that may arise during the restoration process, seeking appropriate solutions and escalating complex problems to management when necessary.

  9. Follow-Up: Conduct follow-up calls or emails with clients after project completion to ensure their satisfaction and gather feedback to improve our services.

  10. Maintain Confidentiality: Handle sensitive client information with the utmost confidentiality and comply with all data protection and privacy regulations.

Requirements:

  • High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
  • Proven experience in administrative roles or customer service positions is preferred.
  • Basic knowledge or interest in classic and custom car restoration would be beneficial but not mandatory.
  • Strong organizational skills and attention to detail to manage multiple projects and tasks simultaneously.
  • Excellent communication and interpersonal abilities to interact with clients and internal teams effectively.
  • Proficient computer skills, including working with spreadsheets, word processing, and email software.
  • Ability to work well under pressure and meet tight deadlines.
  • A passion for cars and restoration would be an advantage but is not a strict requirement.
