Job Description
The Position: The Assistant Firm Administrator works under the supervision of the Firm Administrator by handling and assisting with matters ranging from bookkeeping, billing and collections, payroll, accounts payable, information technology (including the firm’s telephone, computer, and online applications systems), hiring, vendor management, maintaining office equipment and supplies, as well as other daily administrative and office duties, including back-up telephone support.
We are seeking an Assistant Firm Administrator who works with compassion. This person has outstanding organizational skills and effective communication skills. The individual must be proficient with Microsoft Office applications such as Word and Excel and accounting software like QuickBooks. The Assistant Firm Administrator is expected to develop proficiency with ActionStep. This person must also be able to multitask effectively and thrive in a busy, team-oriented environment.
Responsibilities include:
- General office duties including ordering supplies and management of the physical office and office systems (both hardware and software).
- Provides administrative support to the Firm Administrator in firm’s financial matters, including but not limited to accounts billable, accounts payable, payroll, trust and business accounting and reporting.
- Utilizes and is proficient in computer software, including but not limited to MS Office, Outlook, ActionStep, QuickBooks, Adobe Acrobat, and other utilized online application services.
- Operates and supervises vendors to maintain standard office equipment such as telephones, personal computers, printers, and copiers.
- Manages offsite storage.
- Ability to anticipate problems before they occur and double-check all work to ensure accuracy.
- Work onsite, with occasional ability to work remotely in the case of emergencies.

Requirements: Some post high school study such as associate’s degree or bachelor’s degree preferred. Proficiency with Microsoft Office, specifically Outlook, Word and Excel, as well as Adobe Acrobat Must be able to effectively multi-task, manage time sensitive tasks. Strong organizational skills. Ability to act in a busy team-oriented environment.
