Primary Duties and Responsibilities:
Accreditation
Position Overview:
The ETI Coordinator provides administrative support to the ETI Department to include: Accreditation, Publications/Resources and Branch Services. The duties and responsibilities are outlined below and include all other duties as assigned.
Primary Duties and Responsibilities:
Accreditation
- Monitor the accreditation mailbox (emails and voice messages)
- Organize and maintain several excel documents with updated information; program status, finance, reviewers and pipeline cohorts
- Virtual (Zoom) Meeting organization; begin pipeline cohort meetings, attend and monitor meetings, send recordings out to assigned cohort group(s)
- Send and organize emails to accreditation institution/programs; addressing questions, reminder emails, and pipeline session powerpoint presentations and handouts
- Correspond in email upon request; reviewer acknowledgement, program extension, review team letters to institution/ programs and review teams, and approved accreditation letters
- Assist with creating and corresponding with accreditation institutions/programs, review teams, accreditation committee, etc
General Administration
- Prepare appreciation certificates and letters to contributing authors and artists
- Schedule, attend, take notes, and disseminate information for committee and editorial boards’ meetings
- Prepare documentation for department revenue, expenses, and supply orders
- Prepare check requests to pay vendors and contractors
- Maintain and organize departmental virtual files and folders
- Monitor department inbox and info voicemail
- Monitor and organize responses for shared mailboxes (accreditation, communications, bookstore and shop)
Publications, Resources, and Repository
- Organize and maintain IDA content libraries—digital library, website and in-store
- Organize and maintain excel spreadsheets; recording and tracking
- Maintain departmental shared folders
- Assist with bookstore management and maintenance
- Maintain content expert database
- Maintain lists of editorial boards’ members and monitor terms of members
- Assist with permission requests for IDA content
- Assist with website updates and general maintenance of content
- Correspond with services that disseminate IDA content
- Format and post new fact sheets and other website new content
- Assist in marketing efforts to generate ad revenue and sponsorships; creating graphics and content for social media platform posts, thumbnails and covers
- Assist with format and layout of bi-annual digital publication
- Assist with ad sales and placement
- Respond to vendor queries
Experience, Skills and Additional Requirements:
- Bachelor's Degree and at least 5 years related experience
- An effective and professional communicator, both oral and written
- Highly organized, self-motivated, detail-oriented, ability to prioritize, and meet deadlines.
- Skilled proofreader
- Graphic design skills
- Experience with Microsoft 365, Adobe Acrobat, Outlook
