About the Role

The Grants & Budget Manager will manage the grants and budget process, integrating its work with the other departments of PAI, ultimately supporting the continued funding and successful operation of the organization. In this role you will monitor contracts and grants management operations to ensure the high quality of grants and budget administration and compliance with legal and donor requirements across programs. The Grants & Budget Manager will be responsible for leading the effective and efficient operations in the areas of procurement, solicitation, budget preparation, contracting, and award administration (grants, contracts and subawards) to include financial monitoring. Designing, implementing, managing, and monitoring contracts and grants workflow processes and procedures will be a large part of this role. The Grant & Budget Manager will report to the Chief Operating Officer and will undertake special projects and other duties as assigned or initiated.

Essential Duties and Responsibilities

  • Ensure donor compliance by creating budget workplans, soliciting input across programs, finance, and operations, guide programmatic technical teams in producing grant proposal budgets.
  • Oversee the efficient establishment and administration of grant procedures, including scheduling program review meetings and monitoring the timely submission and review of financial reports.
  • Establish program budgets and encourage spending in line with forecasts. Schedule monthly meetings with the program teams to discuss spending and make any necessary updates to the plans.
  • Examine, monitor, and assess the costs associated with allocated funding. Monthly reports comparing budgeted and actual expenses should be prepared and reviewed to make sure grant requirements are being met.
  • Keep track of the level of work for each employee within the designated portfolio and maintain staff funding runways to give insight into how employees are supported and spot funding shortages.
  • Ensure that all donor contracts, reports, and important communications are filed correctly and kept current.
  • Act as a liaison between programs, fundraising and financial teams and systems to ensure continuity, accuracy, and adherence to key processes.
  • Manage the organizational calendar of multiple deadlines, set priorities, adapt to change, and recommend improvements and enhancements to annual budget process.

Education and Experience Requirements

  • Bachelor’s degree in economics, accounting, finance, math, or related field
  • Advanced skill in mathematics, statistics and/or econometrics
  • Minimum of three (3) years of grant management and accounting experience, with nonprofit experience a plus
  • Experience working with and managing the oversight of multimillion dollar foundation grants
  • Advanced proficiency in Excel and experience with various types of accounting and customer relationship management software
  • Essential interpersonal skills: tact, patience, diplomacy, confidentiality, integrity
  • Demonstrated experience in problem solving and ability to find creative solutions
  • Proven ability to prioritize projects and initiate follow through with meticulous attention to detail and a high level of accuracy
  • Demonstrated ability to work effectively under pressure and handle multiple simultaneous tasks and demands
  • Solid analytical capabilities and excellent data presentation skills
  • Experience leading teams on target and on time

Salary Range:


Annual salary range $80,000 - $90,000, depending on experience.

Candidates must be authorized to work in the United States and will be subject to a background check.

Please note, currently PAI is on a hybrid work schedule, three days a week are required in the office with two days working from home.
