This is a full-time schedule; Monday-Thursday 7:45am- 5pm and Friday 7:45am – 2 pm.

POSITION SUMMARY
This position serves as the first point of contact between patients and the practice. Coordinates and guides patient visits from check-in to check-out. Performs various functions including scheduling, managing incoming and outgoing phone calls, collecting co-pays, gathering patient demographic information, and validating insurance information is inputted correctly. Routes phone calls to appropriate departments and provides exceptional customer service. Management of daily task such as Superbill and financial journals, online presences and entering of new patient paperwork.

CORE FUNCTIONS
1. Receives all incoming calls from both internal and external lines. Documents messages and routes to appropriate clinical staff. Transfers calls as necessary. Ensure documentation in medical record is complete SBAR. Assist patients with Medical Record Request.

2. Accurate data entry, confirm patient demographics and insurance information. Collect copays and statement balances. Totals charges on patient’s super-bill at check-out.

3. Schedules, re-schedules patient’s office appointments, follow-up appointments, may prepare patient referrals to specialty care as directed.

4. Prints patient superbills at the beginning of every day. Manage a cover sheet to show every patient that was seen in the office. In addition, track no shows and rescheduled appointments in each clinic.


5. May need to help rooming patients as needed

 

6. Help with online presence through sending of review request to patients


7. Expected to perform daily work tasks with minimal supervision. Additional training and guidance are available as needed for non-routine tasks. Required to always practice and display outstanding customer service and professionalism to all patients and staff members.

8. Must be able to utilize separate computer programs and handle multiple demands on time.

 

MINIMUM QUALIFICATIONS

·         High school diploma/GED or equivalent working knowledge.

·         Requires a demonstrated ability to multi-task between heavy phone volume, multiple computer systems and frequent interruptions. Must have the ability to handle ongoing face-to-face contact with patients and staff while functioning in a busy medical office environment.

·         Must perform accurate data entry.

·         Able to work on a computer sitting for 8 hours a day.

PREFERRED QUALIFICATIONS

·         Bilingual (English and Spanish)

·         6 months experience working with medical insurance.

·         6 months’ experience working in the medical field.

·         Additional education and/or related working experience
