Goldman Sachs Personal Financial Management (GS PFM) specializes in creating personalized wealth management plans for affluent individuals and families. RESPONSIBILITIES AND QUALIFICATIONS:

SUMMARY

Under the general supervision of the Head Of Office (HOO) and Corporate Vice President (VP), the Business Operations Manager is responsible for the overall success of the assigned field offices projects and initiatives, and day-to-day office operations management, including budgets, human resources, communications, investment management, compliance and technology.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Supports and promotes a positive team culture, including change management
  • Oversees hiring process including sourcing, interviewing and recommending candidates
  • Manages the onboarding process for new employees including new hire orientation, processing and sending new hire paperwork and benefit enrollment forms to the People & Organization Department and ensuring training is done in a positive, productive and timely manner.
  • Conducts and/or oversees performance reviews, submits performance paperwork, including salary increases and bonuses to People and Organization Department in a timely manner.
  • Reviews performance/behavior issues with People and Organization Department and coaches, counsels and/or disciplines employees.
  • Communicates, promotes and supports company initiatives to team including leveraging PFMs weekly newsletter.
  • Conducts and facilitates all weekly or bi-weekly staff meetings with team.
  • Conducts weekly or bi-weekly one-on-one meetings with direct report
  • Attends weekly or bi-weekly one-on-one meetings with Heads of Office(s) and keeps the HOO abreast of pertinent operational information/issues.
  • Serves as the operation and escalation expert liaison with custodians, corporate departments and third-party vendors.
  • Facilitates weekly Case Prep meetings and ensures team is prepared for upcoming client meetings.
  • Ensures Salesforce is properly used and maintained by team.
  • Ensures office team supports PFMs Unified Branding, and leverages standard PFM collateral. Oversees the submission and review process for all marketing materials
  • Monitors open opportunities and works with Wealth Advisers and/or Relationship Managers to complete in a timely manner.
  • Ensures local office tracks Guidance adoption in SalesForce.
  • Provides oversight and manages completion of the Guidance Quarterly Audit.
  • Partners with HOO to ensure fulfillment of Delivery of Service requirements for all Guidance clients.

Ensures local office follows PFMs compliance standards and protocols.

Manages and oversees the compliance annual review process, Quarterly Office Review Form, risk management and pre-approvals, outs AUM, licenses, ADV oversight, Trade Error tracing and resolution.

Ensures all team members complete the Financial Tracking reporting requirements.

Manages and oversees the fee audit process .

Ensures performance on the security, portfolio and household level is calculated accurately and in a timely manner.

Ensures trades are placed within model and according to Adviser and client intentions.

Ensures portfolio accounting is accurate and timely.

Partners with HOO on preparation and creation of annual budget and oversees and manages local office budget including A/R, P&L, improving net revenue and tracking advice revenue.

Review, approve and process all invoices, check requests and office expenses.

Attends and participates on Technology & Platform related calls.

Maintains, and understands the execution of, the Business Continuity Plan.

PHYSICAL REQUIREMENTS

Ability to sit at desk for prolonged periods of time.

Ability to operate a wide range of office technology, such as operating a multi-line telephone system, computer, copier and fax machine.

Ability to read documents, reports, etc.

Ability to answer phones and communicate with callers.

MINIMUM QUALIFICATIONS:

Education and Experience:

Bachelors degree with minimum five years managing daily operations, and leading a team, in a financial environment; or equivalent combination of education and experience. Series 65 preferred.

Preferred Knowledge:

  • Microsoft Office (Outlook, Word, PowerPoint and Excel) and Google Apps
  • Prophix or other computerized accounting systems
  • SalesForce or other CRM software
  • Securities, Financial Planning, Investments or Insurance
  • Custodian Platforms (i.e. Fidelity, Schwab, etc.)
  • Investment Advisory Regulations
  • Maintenance of confidential records

Preferred Skills:

  • Providing professional and courteous service to clients, prospective clients and colleagues
  • Effectively managing budgets and P&Ls
  • Effectively managing organic growth strategies
  • Effectively prioritizing and maintaining attention to detail within a fast-paced environment.
