Receptionist/Office Assistant

Cooley is seeking a Receptionist/Office Assistant to join the Office Services team.

Position Summary: Primarily responsible for providing a professional and personable point of contact to clients and visitors of the Washington, DC office of Cooley LLP. Specific duties and responsibilities include, but are not limited to the following:

Position Responsibilities:

  • Answer phones in a professional manner and forward calls as requested; greeting and announcing visitors.
  • Maintain an orderly and welcoming reception area.
  • Maintain a secure environment at reception area and floor entrances, ensuring that clients or guests, including former employees, do not enter our space without approval.
  • Manage all aspects of conference room reservations, serving as the local EMS administrator.
  • Manage all aspects of conference room set up including food and beverage requirements, printing handouts, making copies and IS coordination.
  • Coordinate with Office Services staff regarding caterers used for in-house meetings. Knowledge of ordering practices and billing procedures regarding same.
  • Daily email communication with IS and Facilities for next day meeting and event/catering needs.
  • Check general voice mailbox daily and forward messages to the appropriate attorney or staff member.
  • Serve as the main point of contact for internal visitors to include confirmation/informational emails, IS coordination, adding them on the DC office visitor page as well as sending an email to IS and Facilities upon their arrival.
  • Place international calls, as needed.
  • Exercise care in the course of work to prevent injuries to oneself and co-workers.
  • All other duties as assigned or required.

Skills & Experience

Required:

  • Available to work overtime, as required.
  • After orientation at Cooley LLP, exhibit proficiency in Microsoft Word, Excel, Outlook and other Cooley applications.
  • Knowledge with office equipment (e.g. computer and keyboard, typing, scan, copy and fax machines).
  • High school degree or equivalent GED.
  • Prior receptionist experience.

Preferred:

  • College degree.
  • Previous office service related experience, preferably within a corporate or legal environment.

  • Excellent telephone skills.
  • Detail-oriented and adaptable.
  • Must be punctual.
  • Pleasant and professional demeanor with clear speaking voice and excellent spoken and written command of English.
  • Excellent verbal, written, organization, computer, and interpersonal skills.
  • Ability to maintain confidentiality.
  • Ability to effectively work individually and use critical thinking skills to solve operational issues, knowing the difference between when to solve an issue on one's own and when to elevate it to the next level for help.
  • Reliable and cooperative manner; must be a team player.
  • Ability to prioritize and handle multiple tasks simultaneously. Ability to work well under pressure within a deadline-driven environment, and prioritize and handle multiple tasks simultaneously.

The expected hourly pay range for this position is $25.00 - $30.00. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
