HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:
  • Working in a discreet environment handling sensitive and personal information daily
  • Completing transactional duties with special attention to detail, being organized, and multi-tasking
  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
  • Handling and receiving incoming and outgoing correspondence


As an Administrative Assistant IV, your day-to-day responsibilities will include:
  • The Administrative Assistant (AA) will manage the principal's time by applying working knowledge of mission priorities, business area(s) and personal preferences, protocol, and organizational hierarchy to screen, vet and prioritize emails, visitors, and phone calls
  • The AA will prioritize unscheduled demands and determine the threshold of issues that need to rise to principal' s attention, using sound judgment, considerable knowledge of the supported mission priorities, and working Sponsor and IC concerns
  • The AA will provide calendar and travel support for the 5 principals
  • The AA will place and answer phone calls for the principal; employing proper protocol and interact confidently and effectively on behalf of the principal by communicating orally and in writing his/her requirements and priorities on routine to moderately complex mission-related issues
  • The AA will draft clear, concise, hard and soft copy routine to moderately complex correspondence on behalf of the principal emulating his/her style and voice, and review correspondence and other documents to determine if question or concern is adequately addressed
  • Additionally, they will format, proofread, and edit correspondence and other documents to ensure clarity, accuracy, grammar, and conformance with Sponsor correspondence guidance
  • The Administrative Assistant (AA) will utilize sponsor organization websites and tracking mechanisms to track clearance of incoming personnel
  • The AA will help incoming personnel schedule specific program read-ins and alert staff managers and security officers if personnel have not received their program specific briefings
  • The AA will communicate verbally and through written emails and documents with department and support management regarding taskings, personnel check-ins, check-outs, general work assignments, etc.
  • The AA will be in constant communication both verbally and written with other MSAs across the department
  • The Administrative Assistant (AA) will monitor arriving and departing personnel to ensure check-in/check-out procedures are completed and ensure that shared drive and database accesses are granted or removed accordingly
  • The AA will update email groups and maintain phone directories of key contacts, and also assist with the development and documentation of office administrative procedures (SOPs)
  • The Administrative Assistant (AA) will provide backup duties for other support team administrative assistants within the department
  • The AA will assist with and provide minimal support to renovations and moves; coordinating with office personnel to ensure everyone is aware of project timelines and impacts
  • The AA will request IT maintenance as needed for department personnel


WHAT YOU'LL NEED TO SUCCEED:
  • The position requires an active TS/SCI with Polygraph clearance
  • HS Diploma and 7 years of relevant experience or equivalent combination of education and experience
  • Core hours of 8:00 am - 4:00 pm
  • Proficient Word, Excel, Outlook, PowerPoint
  • Able to perform duties with minimal supervision and some team interaction
  • This position is on customer site
