Status: 25 hours weekly
Salary: $32,500

Hours: M-F; 9am-2pm or 10am-3pm

Montgomery Hills Baptist Church is seeking a dedicated Administrative Assistant to join our team. As a crucial steward of our organizational values and culture, you will champion MHBC’s commitment to fostering a church of belonging, spiritual growth, and service within an ethnically diverse context.

The Administrative Assistant will play a pivotal role in assisting with daily administrative tasks, coordinating schedules for internal and external stakeholders, and providing support across various administrative duties as assigned. We are looking for a deeply collaborative team member who can balance strategic thinking with immediate needs.

Principal Duties and Responsibilities:

Communication (30%):

  • Screen and route all incoming calls and emails, responding as appropriate.
  • Collaborate with ministry staff to create and distribute mass communications such as newsletters and church notices.
  • Send welcome letters to visitors and update the church website and outdoor signboard.

Administration (30%):

  • Develop and maintain the church calendar in coordination with internal and external parties.
  • Assist in planning church events from inception to execution, coordinating with staff and volunteers.
  • Manage inventories, security codes, warranties, and software licenses.
  • Maintain the church membership directory and necessary supplies for various church activities.
  • Process invoices, deliveries, and assist various church teams with administrative tasks.

Facilities (40%):

  • Liaise with the facilities team and pastor to manage building usage requests.
  • Coordinate maintenance schedules for various building systems.
  • Oversee setup and takedown for church events.
  • Maintain telecommunications, computer systems, internet connections, and security systems.
  • Monitor and manage trash removal needs.

 

Job Requirements:

  • Commitment to MHBC’s mission and a willingness to be an active member of the Ministry Staff.
  • Uphold confidentiality on all church matters and exercise discretion in handling sensitive issues.
  • Strong organizational skills with the ability to manage diverse tasks efficiently.
  • Prioritize tasks with minimal guidance.
  • Proficiency in Microsoft Office 365, particularly in managing Outlook calendars.
  • Above-average proficiency in Canva Visual Suite.
  • Comfortable working with individuals from diverse backgrounds.
  • Ability to lift 25 lbs and navigate stairs as needed.
