Summary

The Technology Operations Services Manager position manages the day to day responsibilities of inventory control, asset management, ordering of equipment, requesting quotes for equipment/software, tracking of software, renewals of equipment/software, equipment/software contracts, processing invoices, managing new/return leases, and assisting with the maintenance of the Information Services (IS) budget.

Required Education & Experience

  • College degree or equivalent experience.
  • At least 2 years of relevant work experience in development of process workflows.
  • At least 2 years of experience in managing staff, including hiring and performance management.
  • Must have experience in four or more of the following technical areas:
    • Advanced knowledge of Microsoft Office applications, such as Word, Excel, and PowerPoint.
    • Understanding of asset management and inventory control.
    • Understanding of accounts payable processing and use of systems such as Chrome River and Elite.
    • Understanding of ITAM or a comparable Software Asset Management (SAM) system.
    • Understanding of software harvesting.
    • Strong troubleshooting and analytical problem solving skills.
    • Understanding of basic application architecture.

Preferred Education & Experience

  • Law Firm experience preferred.

Essential Functions

  • Technology Operation Management (25%)
    • Responsible for the management of all hardware and software assets across the management life cycle.
    • Manage agreements and contracts accordingly in our centralized Workspace in the document management system.
    • Issuance of Purchase Orders as required for capital expenditures over $500.
    • Reconcile leasing orders and prepare lease agreements for execution.
    • Oversee equipment refresh for copiers, printers, computers (laptops and desktops), and other equipment.
    • Maintain the quarterly equipment inventory audits for each office
    • Act as a liaison for vendors pertaining to licensing and invoicing.
    • Assist with escalated troubleshooting and customer service as needed.
    • Responsible for hiring, training, and supervision of direct reports.
  • Software / Hardware Asset Management (20%)
    • Respond to requests for software installs within specified times.
    • Update the software/hardware inventory portal.
    • Crosscheck all hardware and software inventory lists with the firm's asset management solution and SCCM to maintain compliancy.
    • Seek approvals and purchase of any software and hardware requests. Including firm-wide and division specific requests.
    • Maintain quarterly equipment inventory audits for each office according to department guidelines/procedures.
  • Receiving / Disposition (20%)
    • Oversee the process for the receiving, tracking and disposing of all hardware assets.
    • Oversee the process for the disposition of equipment at lease end or equipment end of life.
    • Oversee the process for software harvesting to maintain compliancy.
    • Tag, track and manage all hardware within the firm.
    • Ensure all hardware assets are decommissioned and information removed in accordance with all firm/risk policies and guidelines.
  • Budgeting and Invoice Processing (25%)
    • Participate in the annual budgeting process.
    • Solicit budget request from various leaders to consolidate into annual budgeting process.
    • Reconcile monthly expenses to the budget.
    • Establish and maintain a consistent invoice processing protocol that includes the necessary financial controls to mitigate unnecessary payments to vendors.
    • Process invoices for payment in a timely fashion.
    • Produce monthly and quarterly reconciliation reports as needed.
  • General and Administrative (10%)
    • Performs other duties as assigned.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the responsibilities of the position, these work environment characteristics are representative of the environment the person in this position will encounter. While performing the duties of this job, the employee will work in a professional, fast paced office environment that may require additional hours to complete work.
