Job Title: Lead Payroll Specialist

Location: Bloomington, MN (Hybrid work schedule)

Pay Range: 70k - 90k


As a member of the finance team, the Lead Payroll Specialist will be responsible to perform highly complex administrative support and ensure accurate and timely processing of the organization’s payroll, benefit contribution files, taxes and associated financial information. This position will support the company’s payroll activities and functions for bi-weekly and semi-monthly payrolls to ensure smooth operations. Employees consists of multiple employment classifications, all non-union. Payroll transactions are to be consistent with federal and Minnesota and Iowa state wage and hour laws.

This position works within the company’s finance department to manage all aspects of time records and bi-weekly and semi-monthly payrolls.

Key Result Areas:

1.Manage and guarantee timely and accurate disbursement of bi-weekly and semi-monthly payroll to include employee maintenance entries, wages and overtime calculations, voluntary and involuntary deductions, batch import files, processing, and reconciliation of payroll.

2.Validation and prepares a variety of pay calculations according to internal compensation programs and hours.

3.Ensures compliance with federal and state regulations (withholding, deductions, tax, and labor laws)

4.Respond to all requests for employee inquiries, employment income verifications, garnishments, liens, or levies.

5.Accurate and timely processing of special pay such as new hire, true-up, bonuses, manual checks, and end of employment computations.

6.Calculate internal short-term disability compensation programs.

7.Oversee the direct preparation and review of a variety of files, payroll records and reports according to established timelines.

8.Resolve payroll discrepancies and serve as a technical resource to administrators and employees concerning payroll accounting activities, salaries, deductions, retirement plans and other contribution accounts.

9.Collaborate with HR and other functional areas related to payroll changes, benefit deductions, tax withholding, and pay rates each pay period.

10.Research, reconcile and respond to federal, state and local tax notices.

11.Prepare, validate, and submit compliance filings as assigned, including quarterly 941.

12.Research, compile, review, and analyze data for special projects.

13.Audit W-2s, payroll YTD earnings, payroll balance sheets and retirement plan contribution.

14.Communicate actively with Finance Manager, Human Resources, and other functional areas as it relates to cross-departmental impacts and data sharing.

15.Process accurate and timely year end reporting (W-2, W-4’s, etc.)

16.Manage standard and ad hoc preparation of relevant management reports.

17.Organization of shared files, and work sheets in an accessible, systematic, logical and consistent manner.

18.Supervise, train, and monitor payroll specialist and other assigned staff.

19.Other position-related projects and duties as assigned.

Education, Skills and Experience:
• Bachelor’s degree in accounting, business or related is required.
• Certified Payroll Professional (CPP) designation, required.
• ADP Certification, a plus
• 4 – 6 years progressive payroll experience, required.
• Healthcare payroll experience, a plus.
• Computer proficiency, (MS Office – Word, Excel, Power Point, ADP Workforce Now)
• Strong attention to detail and ability to manage multiple tasks and deadlines.
• Ability to work independently and work effectively across departments.
• Excellent communication skills, strong attention to detail and proficiency in ADP payroll software.
