You must live in COLORADO in the south Denver Metro area to apply for this position. THIS IS A HYBRID/REMOTE WORK FROM HOME POSITION THAT REQUIRES LOCAL TRAVEL TO AND FROM MANAGER'S HOME OFFICES, RUNNING ERRANDS, SHIPPING AT UPS, AND WORKING AT OUR STORAGE UNIT. YOU MUST HAVE RELIABLE TRANSPORTATION AND BE ABLE TO COME AND GO AS NEEDED DURING WORK HOURS. We administer all services at our company through video conferencing. Please see details below for remote positions.

The Nectar Group is a cutting-edge cognitive training and academic coaching company based in Colorado, but fully remote, that is hiring a part-time administrative assistant. This position will begin as part-time during the first month of training but over the first 4-6 weeks will ramp up to full-time. Work hours will be typically Monday-Friday 8am-5pm with some occasional hours outside that window required for special projects, events, or deadlines. 

We work with students K-12 as well as adults and apply principles of neuroscience to learning. Our clients are children and adults of all ability levels. We work with students who want to unlock their full potential in order to overcome learning challenges and disabilities. We provide unique, customized coaching and tutoring programs and one to one schooling through Nectar Academy. Our one-on-one programs solve the underlying root issues to learning and memory challenges. We see significant positive change and results that last a lifetime. We serve clients nationally and internationally. 

The Key Responsibilities of the Administrative Assistant are: 

  • Shipping Management (assemble, package, and ship a variety of materials to clients and staff, track packages to ensure delivery and return receipt, coordinating materials being shipped and received to conferences across the US, ensuring package delivery to appropriate staff from online retailers such as ordering)
  • Inventory and ordering of company materials, managing our storage unit where all materials are kept, keeping inventory organized and orderly. Assembling kits of materials for employees and clients. Receiving and processing back into inventory materials from employees.
  • Data entry of new clients and prospective clients into our database
  • Various back office administrative responsibilities such as: sending emails, email campaigns, updating events on the company website, assisting the sales and marketing team with preparing for appointments, sending out new client contracts, conducting email and text message follow ups with prospective clients, processing online registrations and post event follow up for webinars and other events, assembling and shipping snail mail campaigns, sending referral thank you gifts, holiday gifts, auction donations, etc. 
  • Document management and digital filing: management of all company files and documents in a digital filing system, ensuring that all files are saved according to protocol and filed correctly. Assisting with company digital file management projects such as cleaning up and moving all files to a new platform. 
•Other projects and responsibilities and back office support as needed to support management team. 

***You will be driving to the company storage unit weekly which is located near Park Meadows Mall in Lone Tree, to the UPS store, and to occasionally complete errands or pick up materials from managers in Parker, Lone Tree, South Denver, and Littleton. You must live in that general areas of town with reliable transportation. You must be able to receive shipments at your home office frequently and will transport materials you receive to the company storage. You must be able to lift, move areound, and transport boxes that weigh up to 35 pounds.

Please note that while this is a remote position, you must treat the position as if you were in an office during work hours. This means that you must be at your home office (or site) during work hours (not in a coffee shop, library, etc.) You must have daycare/childcare arrangements for any children. You must have a dedicated work space that is free from distractions and interruptions of pets, family members, housemates, etc. and that is professional in nature. Because some of our services fall under HiPAA, confidentiality must be maintained and no other family members (children or adults) may overhear business or client interactions. You must also have high speed internet. We will provide you with all materials such as a computer, printer, etc. you will need for the position.
