The Raleigh/RTP offices of Womble Bond Dickinson (US) LLP is seeking a Legal Practice Assistant for the Trust & Estates Practice team. This position is responsible for supporting the Trust & Estates team with preparing legal documents, calendaring important dates, and filing as necessary. We are looking for someone that has at least 2-3 years of experience with this type of work.
RESPONSIBILITIES:
- Schedule and handle arrangements for client meetings and attorneys' continuing education programs
- Enter attorneys time
- Respond to frequent telephone and email communications with clients regarding their questions and/or appointments
- Prepare word processing work including but not limited to memos, letters, charts, check requests, updated mailings and service lists
- Prepare client letters accompanied with original signed documents
- Draft letters using the practice group's drafting system for client documents
- Prepare and process original signed client trust and estate documents
- Prepare, complete and process Change of Beneficiary Forms for life insurance, IRA, and other retirement accounts, also including stock certificates for clients
- Update client information and tickler system in Compulaw and Outlook contacts
- Update client information in practice group's drafting/inventory system
- Create electronic binders with PDF Creator using bookmarks for index
- Scan and file all client signed documents and correspondence into document management system
- Serve as a witness and/or notary on client estate planning document executions
- Maintain and update frequently all client documents stored in Vault and Vault Binder List
- Assist with special projects as needed
REQUIREMENTS:
- Bachelor's degree preferred and a minimum of 2-3 years of Trusts & Estates related experience and/or training
- Demonstrated writing and communication skills and documented interpersonal abilities
- Strong analytical skills and ability to grasp new concepts quickly
- Demonstrated organizational skills: responsive, efficient, independent, high energy and proactive in a very fast-paced environment with deadline pressures
- Demonstrated proficiency in Microsoft Outlook, PowerPoint, Word, Excel and Adobe
- Team player, able to interact effectively with all levels of the organization as well as external clients
- Ability to present herself or himself professionally and understand the importance of confidentiality and highly sensitive, client- and firm-related information
- Punctuality and satisfactory attendance are imperative
- Excellent communication skills are required for client communication
