We are a local independent insurance agency located near the Fair Oaks Mall and are searching for a detail-oriented and personable Administrative Assistant to help keep our office organized, consistent, and efficiently run. This position has a wide range of consistent daily and weekly tasks that include processing the mail, reviewing policy alerts, auditing policy changes and applications, working closely with Agents, managing office supplies, and mailing commercial new and renewal policies. After the initial 30-day training period, we will offer a flexible schedule with the possibility of some remote work. You can set your schedule between 8:00am-5:00pm.

Responsibilities
  • Process mail daily. This includes opening mail, determining where it needs to go, getting it to the right person, or filling in our agency management system.
  • Process policy documents from Erie Insurance and our other carriers and scan into Agency Management System and notify corresponding Agent.
  • Manage commercial policy document mailing process. Work with Agents directly and through an Excel spreadsheet on when to mail policy documents to commercial clients. Includes recording activities on spreadsheet and physically mailing out the documents.
  • Review policy cancellation and policy alerts on carrier websites. Work with Agency Directors on assigning to Agents.
  • Work within our agency management system to help keep clean and accurate records.
  • Review Agent finder fee submissions to ensure accuracy. Verify complete submissions, checklists, application documentation, and correct finder fee.
  • Manage office supplies and order when necessary.
  • On rare occasions, answer phone and take messages if one of our Agents is not available. No other customer contact is required.
  • Other duties as assigned.

Requirements

Experience

  • Applicant must have a record of high integrity, professionalism, teamwork, positive energy, attention to detail, and accountability.
  • Demonstrated success in consistently following policies and procedures.
  • Proficient data entry skills and strong computer skills, including the ability to use Excel, Outlook, and Word.

Preferred Candidate

  • 2+ years work experience in administrative support, customer service, or insurance industry.
  • Experience with an Agency Management System, specifically Xanatek IMS4.
  • Experience with Erie Insurance.

Education / Certification

  • High School diploma. Undergraduate degree preferred but not required.
