Job Summary: As the Assistant Manager overseeing title clerks at our private DMV office, youll play a pivotal role in ensuring the smooth and efficient operation of our motor vehicle, vessel, and mobile home registration and title processing. Your responsibilities will range from managerial tasks to technical oversight, ensuring compliance with regulations and delivering exceptional customer service. Under the guidance of the department Manager and upper-level administrative officials, youll lead a team of processing staff, delegating duties, providing guidance, and ensuring the timely and accurate completion of all tasks.
Essential Duties and Responsibilities:
- Coach and mentor processing team members to foster their professional growth.
- Serve as the primary point of contact for employee team issues, offering support and resolution as needed.
- Responsible for the opening and closing of both front and back office each business day.
- Delegate transaction types daily to the processing team, overseeing their completion.
- Grade and void title transactions as necessary.
- Manage inventory for plate disbursement.
- Review and configure end-of-day reports before submission to state agencies.
- Generate daily E-commerce reports and assign transactions accordingly.
- Conduct cash collection at the end of each day, providing totals to the Accounting Department.
- Provide occasional assistance to the Trainer for coverage purposes.
- Offer direct assistance to the public for license plates, titles, and tax collections, whether in person, by mail, or over the telephone.
- Handle customer escalations for dealerships, addressing related transactions promptly and professionally.
- Process various applications for tag, title, and registration transfers/renewals, ensuring accuracy and compliance.
- Oversee transactions for dealerships and companies with large vehicle fleets, identifying and rectifying discrepancies.
- Conduct audits on all transactions to ensure adherence to departmental procedures and state statutes.
- Perform any other core or essential duties as required.
Requirements
Preferred Minimum Skills, Education, and/or Work Experience:
- Associates degree in Arts or Science from an accredited college or university.
- Minimum of 2 years of progressive DMV/MVA or Tax Collectors office experience.
- Typing proficiency of at least 35 words per minute.
- Strong interpersonal skills for effective communication with internal staff, customers, and stakeholders.
- Ability to work autonomously on routine and non-routine tasks with attention to detail.
- Proficiency in business mathematics for accurate calculations.
- Excellent communication and listening skills for effective team management and customer service.
