Washington, District of Columbia Job Description The Washington, DC office is seeking a motivated and proactive professional to fulfill the role of our Operations Manager. This role is responsible for overseeing various operational functions and ensuring the smooth and efficient functioning of our office. Responsibilities: Provide oversight and guidance to our Reception, Catering, and Epiq teams, ensuring professional, efficient and high quality service. Oversee conference room coordination, including managing outside conference room usage. Facilitate rooftop events and reservations. Handle requests for proposals (RFPs) for various services, evaluate vendors, and negotiate contracts to secure cost-effective and reliable service providers. Build and maintain strong relationships with vendors. Manage orders for gifts and logo items, ensuring timely delivery and appropriate branding. Coordinate new hire photo sessions for attorneys and leadership. Develop and implement operational policies and produce procedure manuals to ensure consistency and efficiency. Oversee signage within the office, ensuring clear and effective communication. Collaborate with the Director of Administration (DOA) to address weather and local emergencies, ensuring the safety and well-being of our staff. Assist in planning and coordinating office events, fostering a positive and engaging work culture. Manage distribution lists for the office, ensuring accurate and up-to-date contact information. Organize and coordinate quarterly manager lunches, promoting cross-departmental collaboration and knowledge-sharing. Provide backup support to the Senior Facilities Manager, assisting with various facilities-related tasks as needed. Maintains the DC office page on The Pulse Ensures all employees are included on appropriate distribution lists in Outlook. Member of DC office Emergency Preparedness Team Works with Facilities Manager to maintain Kastle Key system. Assist Facilities Manager with Events, renovation projects, and community outreach. Additional liaison with Akridge and Atlantic Services. Acts as a host to visitors and guests of the office. Qualifications: Bachelor's degree in business administration, management, or a related field (or equivalent experience). Previous experience in law firm operations or similar role, demonstrating a solid understanding of legal environment and processes. Strong organizational and project management skills, with the ability to prioritize tasks and meet deadlines. Excellent written and verbal communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders. Proficiency in Microsoft Office Suite and familiarity with legal software and tools. Proficiency in financial management, budgeting, and accounting principles. Attention to detail and ability to maintain accuracy in a fast-paced environment. Strong problem-solving skills and ability to think strategically. Demonstrated leadership abilities and experience managing a team. Ability to adapt to changing priorities and thrive in a dynamic work environment.
