Gridiron IT is seeking a Contracts Administrator to support a team that provides a high-level of
acquisition and procurement-related support within a Federal Government environment. In this role, the Contracts Administrator will be an integrated team member in support of several military and civilian agencies across various sectors to include professional services, Information Technology (IT), and a variety of other services required by client agencies. This is a full-time position that reports directly to one of the executive team members. All work performed will be remote and with the expectation of periodic onsite visits with the client and management.

The primary responsibility will be to support government client and provide acquisition
support services in collaboration with procurement, program staff, and GSA leadership, including:

General Contract Administration and Quality Assurance:

  • Contract Administration and Contract Review Board Program. Prioritize, track, and research contract files to ensure file accuracy and completion for the respective procurement phase, and /or disposition (acquisition planning, pre-solicitation, pre-award, and post-award).  Perform internal reviews on contracts/task orders to determine if any missing information exists.
  • Manage Acquisition Quality Reviews. Monitor contract/task order awards, modifications, and close-outs to ensure proper contract procedures are followed, including selecting the proper contract types
  • Standard Operating Procedures (SOP) Documentation. Draft and manage working SOP documents which detail standard operating procedures used within execution of general administrative, quality assurance, and contract review board activities. The Contractor staff shall develop and document processes and recommend improvements in the current process for acquisition quality assurance and
  • Contract Reporting & Data Analysis and Validation Support. Contractor shall provide reporting and data validation for acquisition support activities;
  • Performance-monitoring activities. Work with Government POCs to monitor and verify contract deliverables, and/or completion of services. The Contractor's staff shall monitor, analyze, adjust, correct funding information provided to the organization.
  • Acquisition Contract Support. Work with the Government POCs to respond to inquiries, prepare reports and documents, proofread documents, manage files, and provide logistics support (scheduling, coordinating, and arranging various activities).
  • Workforce Coordination. Maintain and update records related to time, attendance, and travel as directed by the Government POC. Support the Government POC in onboarding new personnel.


To be qualified for the role, the ideal candidate must demonstrate a combination of the following:

Education/Training:

  • Equivalent to a bachelor’s degree from an accredited college or university with a major in business or public administration, finance, operations management, or a closely related field.


Experience:

  • 5 – 7 years of increasingly responsible procurement and contract administration experience.
  • 5+ years’ experience ensuring quality assurance metrics are met in an acquisition environment.
  • Mid-career 1102 experience preferred


Certification:

  • DAWIA or FAC- C Level II preferred


Knowledge & Skills:

  • Mid-level contracting and contract administration principles, practices, methods, and techniques used in a Federal Government agency.
  • Federal and state laws, regulations, policies, and procedures governing purchasing and contracting activities.
  • Research methods and statistical analysis techniques.
  • Contract and document preparation and processing.
  • Principles and practices of sound business communication; correct English usage, including spelling, grammar, and punctuation.
  • Principles, practices, concepts, and techniques used in customer service and team collaboration.
  • Modern office practices, procedures and equipment including computers and applicable software programs, such as Microsoft Office Suite and Google Doc.
  • Capability to review and evaluate the work of acquisition colleagues engaged in a wide range of contract administration activities.
  • High-level capacity to review contracts and agreements consistent with contract law requirements.
  • High-level capacity to analyze and make sound recommendations and decisions on complex technical data and legal requirements associated with contract development.
  • Ability to evaluate contract, risk management documents, and make sound decisions on their administration and enforcement.
  • Advanced capability to communicate clearly and effectively, both orally and in writing.
  • Advanced ability and experience preparing clear, concise, and accurate reports, documents, data entries, and other written materials.
  • Capability to maintain sensitivity to and understanding of the diverse socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of contract stakeholders.
  • Ability to exercise tact and diplomacy when dealing with sensitive, complex, and confidential issues and situations.
  • Advanced knowledge and experience establishing and maintaining effective working relationships  with contract stakeholders.
