The Office Service Manager at The Flying Locksmiths is a critical role responsible for overseeing and coordinating the administrative and operational functions of the office. As a key member of the management team, the Office Service Manager plays a vital role in ensuring the smooth and efficient operation of the locksmith security company. They will be responsible for managing office procedures, customer service, and supporting the service technicians in delivering high-quality locksmith and security services to clients.

Responsibilities:

1. Office Management: Oversee day-to-day office operations, including managing phone calls, emails, mail, and other communications. Maintain office supplies, equipment, and facilities to ensure a professional and efficient working environment.

2. Customer Service: Provide exceptional customer service by addressing client inquiries, scheduling appointments, and managing service requests promptly and courteously. Handle customer complaints and ensure they are resolved to maintain high levels of customer satisfaction.

3. Scheduling and Dispatching: Manage the scheduling and dispatching of service technicians to various client locations. Optimize routes and assignments to maximize efficiency and minimize response times.

4. Team Support: Support the service technicians by providing them with necessary information, tools, and resources to carry out their job efficiently. Collaborate with the technical team to address any challenges and ensure a seamless workflow.

5. Billing and Invoicing: Process client invoices and manage billing functions. Coordinate with accounting to ensure accurate and timely invoicing and payment collection.

6. Record Keeping: Maintain detailed records of client interactions, service history, and job assignments. Ensure accurate documentation for internal reporting and regulatory compliance.

7. Inventory Management: Track and manage inventory levels of locksmith and security equipment, hardware, and tools. Place orders for new supplies as needed to maintain optimal inventory levels.

8. Health and Safety Compliance: Ensure compliance with health and safety regulations and company policies to maintain a safe and secure working environment for employees and clients.

9. Performance Monitoring: Monitor key performance indicators (KPIs) related to office operations and customer service. Identify areas for improvement and implement strategies to enhance efficiency and customer satisfaction.

Requirements:

  • Proven experience in office management, customer service, or administrative roles, preferably within the physical security industry
  • Excellent communication and interpersonal skills with a strong focus on customer service.
  • Strong organizational and multitasking abilities to manage various tasks and prioritize responsibilities effectively.
  • Proficient computer skills, including MS Office and office management software.
  • Knowledge of locksmith and security services and equipment is an advantage.
  • Ability to work well under pressure and in a fast-paced environment.
  • High level of attention to detail and accuracy in documentation and record-keeping.
  • Leadership qualities to coordinate and support the service team effectively.
