Member Services Specialist  

Full Time

JOB DESCRIPTION:

Member Services Specialist is responsible for delivering exceptional customer service. This role will answer phone calls and field them accordingly, address questions and needs of customers, oversee Parts and Retail inventory and sales, and provide an overall welcoming environment.

REQUIREMENTS AND QUALIFICATIONS:

  • High School Diploma or equivalent
  • Proficient in Microsoft Office
  • Data Entry experience
  • 1-2 years of automotive industry business office experience is preferred
  • Experience with Tekion or similar DMS platform
  • Experience with SalesForce or similar CRM platform
  • Professional appearance and disposition
  • Fluent in English language with excellent verbal and written communication skills
  • Outstanding customer service and listening skills
  • Must be a team player
  • Must be detail-oriented and have the ability to multi-task
  • Self-motivated; able to effectively prioritize tasks and organize workload to solve problems

DUTIES AND RESPONSIBILITIES:

  • Record and work with information in DMS and CRM systems according to the needs of business
  • Answer and manage all incoming calls as outline in the provided O'Gara Motorsport Incoming Call Procedures document
  • Maintain O'Gara Motorsport Daily Call & Visitor Log, including detailed and accurate records of all calls and visitors
  • Reply to all emails within (1) working day
  • Welcome visitors in a warm and friendly manner, and answer questions customers may have
  • Handle customer complaints calmly and professionally. If necessary, connect the customer with management
  • Maintain the general office filing and organization systems
  • Complete end-of-month reconciliations and reports, Monthly Thermal Club Statement charge coding and Vehicle Inventory Report
  • Communicate with appropriate Thermal Club team members to inform when O'Gara Members plan to go on track
  • Receive and distribute packages that are delivered. File all invoices/packing slips in provided folders
  • Sort and distribute incoming mail. Manage shipments, including vendor returns
  • Place Parts orders when advised by management
  • Place Merchandise orders for shop display and back stock when advised by management
  • Facilitate Parts and Merchandise sale transactions
  • Submit breakfast and lunch orders for technician team as needed
  • Support RO opening and closing procedures
  • Support product and labor invoicing and payment follow up. Review outstanding receivables on an ongoing basis
  • Maintain professional appearance and neat work area
  • Take inventory and stock office supplies and refreshments as well as maintain clean and tidy all common areas
  • Follow Shift Start and Shift End procedures outlined in the provided Presentation Maintenance Checklists document
  • Follow time card procedures to ensure accurate entries at all times
  • Provide administrative support as needed
  • Perform other job-related duties as assigned by management

COMPENSATION: $24.00 - $30.00/ hr. depending on experience
