About State University Construction Fund: The State University Construction Fund (Fund) is a New York State government entity dedicated solely to facilitating and expediting the construction, renovation, rehabilitation, and improvement of the State University of New York's academic building and infrastructure assets at 32 state-operated campuses and 3 teaching hospitals. Our offices are located within the historic SUNY System Administration headquarters in downtown Albany, New York. Though officially named the H. Carl McCall SUNY Building, it is often referred to by locals as the, "D&H Building," or affectionately, "The Castle." The Fund offices and the adjoining employee parking garage are just steps from the Hudson River, a short walk to the Capitol Building and the Empire Plaza, and a few minutes' drive to major highways including the Northway (Interstate 87) and the New York Thruway (Interstate 90). Job Description: The State University Construction Fund (Fund) is currently seeking an Office Clerk II to join our Administrative Services team at our office in Albany, NY. The Office Clerk II is responsible for the routine functions necessary to provide daily operational services in the mailroom and supply room. Activities include mail and messenger service, stockroom and warehouse maintenance, supply ordering and inventory, reproduction services, distribution of incoming bidding plans and specifications, assistance in the preparation of office moves, assistance with fleet vehicles, and other related office services functions. Specific Duties & Responsibilities: Perform activities in support of the mail, inventory, office supply and reproduction services. Keep records of registered, certified, United Parcel, insured or related mail received and/or sent. Assists with the transfer of records to the State Records Center (SRC) and the retrieval of records, when required. Assists with the maintenance of an electronic document storage system for Fund records and documents. Sort and distribute all incoming mail. Pick up and deliver inter-office and intra-office mail. Process outgoing mail: inspect for complete address, proper postage, sealing, typing & packaging to withstand normal handling, sort mail for city post office and intra-agency deliveries. Compute postage required according to weight and class; determine most cost effective and efficient way of mailing. Receive, store and distribute office supplies, equipment forms, publications and other printed materials. Unpack, count, and sort incoming articles to verify receipts against orders. Issue and may deliver supplies from stock according to valid requisitions, following established procedures and maintains inventory database Take periodic physical inventory of the goods and supplies on hand and compare results with the inventory database. Keep shelves and stock clean, in proper place, and neatly arranged both in the mail room and at the warehouse. Arrange and assist in office moves. Design office signs using computer software, print signs, and install signs on site. Responsible for minor repairs and maintenance. Assists with coordination of space allocation within the organization to accommodate changes of staff, equipment, or workflow. Responsible for receiving and placing work orders. Operate a motor vehicle to pick up and deliver mail, equipment and supplies. Assist with cleaning of fleet vehicles and/or transporting fleet vehicles for repair and maintenance services. Transports management locally to meetings upon request. Responsible for filing of Certified Payrolls Records. Provide general administrative support to Administrative Services Unit. Performs other duties as directed. Requirements: A High School Diploma and equivalent a minimum of two years of relevant experience in a related field. Additional requirements include knowledge of applicable rules, regulations and rates of the U.S. Postal Service, Federal Express and United Parcel Services; knowledge of procedures for supply inventory system; basic knowledge Microsoft Office Suite; must be able to lift up to 50 lbs. on a frequent basis; and a valid NYS Driver's License. This position does not require a NYS Civil Service examination. Additional Information: Salary range: $42,493 - 68,269 per year, commensurate with experience and qualifications.
