Responsibilities

Guest Service Professionals handle many day-to-day tasks including, but not limited to the following:

  • Assisting guests with a high level of professionalism and excellent customer service skills at all times.
  • Answering phones and communicating effectively with guests through phone calls, emails, integrated platform messaging, and when out at a property, in person. We highly value our guests and this requires active listening in order to determine how to best handle guest questions and concerns, considering travel dates, rates, special events and budgets, and accommodations requirements.
  • First point of contact assisting guests with vacation planning, booking reservations with accuracy, answering pricing and invoicing questions, addressing special requests and complaints, and providing area restaurant recommendations and top rated things to do in the area.
  • Accurately educating prospective guests on desired properties and asking lead generating questions to promote add on services and alternate properties when their desired property is not available.
  • Evaluating guest issues and directing escalated issues to management in an effective and time sensitive manner.
  • Technical skills required: Use of or ability to learn to use the following: Apple laptops and mobile devices, mastering multiple software applications, and ability to troubleshoot printer issues, TV remote issues, Wi-Fi issues, and various software issues.
  • Responsible for running daily, weekly, and monthly reports, checking arrivals and departures, and checking reservations to ensure accuracy and that payments have been processed appropriately prior to guest check-in.
  • Assisting with the creation and delegation of maintenance and housekeeping work orders.
  • Managing repair log and ensuring follow-up is complete on maintenance repairs to lean the cause and details of the repair issue and status of resolution.
  • Overseeing various special projects as requested.
  • Assisting with updating listing wording and automated messages in Vacation Rental Software.
  • Assisting management with updating listings in vacation rental management software and OTA platforms and identifying potential listing and website errors to ensure listings are up to date with all current information.
  • Assisting with maintaining supply inventory and delivering items and supplies to properties.
  • Establishing and maintaining positive collaborative relationships with team, management, and vendors.

 

This position may also include

  • Traveling between office and properties.
  • Previewing properties to have the knowledge necessary to assist potential guests.
  • Conducting spot inspections of properties prior to arrival of guests.This may also include light housekeeping and/or maintenance duties as a result of spot inspections.

 

Qualifications

  • Ability to work well under pressure in a fast-paced environment.
  • Excellent interpersonal, customer, and organizational service skills.
  • Commitment to uphold company policies, rules, and procedures.
  • 2 years of professional work experience utilizing software.
  • 2 years of customer service work experience.
  • Background and criminal check.
  • Completion of Enneagram Institute testing
  • Authorized to work in United States.
  • Driver’s License and reliable transportation are required for frequent travel between Wilmington (Porters Neck Office) and Surf City/Topsail Island;

 

Experience with the following is Preferred but not required:

  • 2 years working in the vacation rental industry.
  • Knowledge and Experience with Apple Computers (including pages & numbers)
  • Google Drive (Google Docs & Spreadsheets)
  • Airtable
  • Point Central/alarm.com
  • Ascent/Slim CD
  • Experience with the following booking software:
  • TRACK (Travel Net Solutions) Software
  • Airbnb
  • VRBO
  • Expedia
  • BookingCOM
  • Nextpax

Positions Currently Available:

  • Full and part-time M-F positions available
  • Full and part-time positions available with Saturday and/or Sunday requirements
  • Weekend positions available.
  • All positions may have some weekend, holiday and on-call requirements.

 

Compensation:

  • 16.00 - 18.00/hr
  • W2 Employee
  • Holiday Pay after 3 months
  • 3.33 hours PTO accrued per pay period (biweekly) after 3 months
