THIS POSITION IS FULLY REMOTE

SUMMARY

The Human Resources Coordinator assists in developing, implementing, and evaluating ongoing Human Resources policies, programs, functions, and activities. Under the general direction of the Chief Human Resources Officer, this position provides direct assistance in all Human Resources functional areas including employee onboarding and off-boarding, benefits administration, recruiting support, professional development and training, performance evaluations, employee relations, employee well-being and diversity, and equity and inclusion initiatives.

ESSENTIAL DUTIES, TASKS, AND RESPONSIBILITIES

Talent Development and Employee Engagement

  • Assist with organizing and executing various Firm-wide employee well-being and engagement-focused efforts.
  • Provide administrative support for new and ongoing diversity, equity, and inclusion programs and initiatives. Conduct ongoing research on diversity, equity and inclusion developments, potential programs and initiatives and policy updates.
  • Maintain and improve the database of firm diversity information and provide analytical reports and statistics regarding demographic information as needed.
  • Participate in client surveys on a regular basis to ensure HR/Recruiting related demographic information is accurate and up to date.
  • Assist in identifying training needs and developing training curricula and programs through a variety of formats including instructor-led, virtual, blended, and eLearning.
  • Coordinate various aspects of virtual and in-person training and professional development programs, including scheduling, reserving conference rooms, draft and sending invitations, tracking invitees, coordinate with presenters, distribute materials, request audio/visual support from IT, order meals, manage expense reimbursements, and trouble-shoot all aspects of a program, while developing strong relationships with other operations departments and business professionals.
  • Work with the Talent Acquisition Specialist to maintain documentation and content on viLMS.
  • Assist Chief Human Resources Officer with annual performance review process ensuring guidelines and other processes are documented and current.
  • Ensure all necessary applications have been filed and all required regulations are met in order to accredit and implement Firmwide training programs.
  • Develop and maintain a working knowledge of CLE requirements in jurisdictions where the Firm has attorneys licensed to practice; assist with the tracking of the CLE compliance status of Firm attorneys; ensure that sign-in sheets or attestation forms and other requirements are properly executed and maintained, including: presentation slides, timed agendas and other required documentation, and assist with other CLE-related tasks, as needed.
  • Analyze feedback from training and professional development programs and suggest improvements.
  • Responsible for post-program attendance validation and reporting to CLE Boards as necessary.
  • Responsible for user maintenance and access for all employees in all systems, viLMS and Practicing Law Institute (“PLI”).
  • Manage the process of CLE credit delivery and managing the Firm’s CLE accreditations, maintain good relationships with relevant CLE boards, manage content delivery to preserve Accredited Provider status in relevant jurisdictions, advise attorneys on Firm policy and state rules for fulfillment of CLE requirements, and work directly with Marketing Department on CLE programs for clients and targets.
  • Track upcoming bar dues dates and handle related group payments, if applicable. Monitor individual attorney CLE status and send periodic updates and reminders concerning reporting deadlines.
  • Track participation in mentoring program and assist with implementation of mentoring initiatives.
  • Assist with other ad-hoc projects and tasks as needed.

HR Operations

  • Work closely with and provide assistance to the Chief Human Resources Officer, Legal Recruiter and Human Resources Generalist in a wide variety of areas including: recruiting, employee onboarding and off-boarding, benefits administration, compensation, professional development and training, performance evaluations, employee relations, diversity, equity and inclusion, and employee well-being. Develop and maintain a deep understanding of department objectives, key initiatives, and requirements to support the planning and execution of department-wide projects.
  • Participate in the full lifecycle of recruitment including preparing job announcements and advertisements, communicate with candidates, and track applicant status updates, evaluate applicant resumes, host phone screens and coordinating interviews, and draft offer letters for approval and distribution.
  • Coordinate conflicts checks, reference checks, and background checks as part of the onboarding/pre-hire credentialing process for direct hire positions, as well as temporary project attorney staffing efforts.
  • Work with the Chief Human Resources Officer on all matters related to new hire onboarding, ranging from preparing onboarding materials to scheduling orientation sessions to reviewing and filing new hire paperwork. Check in with new hires regularly after their first day to ensure a smooth and successful onboarding process; assist with issues and questions as they arise.
  • Assist with maintenance of confidential employee personnel records and update employee information and run reports in the Firm’s HRIS as needed.
  • Coordinate with other Business Services functions (IT, Legal Support Services, Operations, etc.) on logistics related to new employee arrivals and separations.

SKILLS, KNOWLEDGE, AND ABILITIES

  • Maintain confidentiality in all aspects of client and Firm information.
  • Excellent computer skills with MS office (e.g. Word, Excel, PowerPoint), with the ability to learn new software (e.g., viLMS, viEval,) and operating systems.
  • Outstanding attention to detail.
  • Excellent organizational skills.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Ability to exercise discretion and good judgement daily, especially when handling confidential and/or sensitive employee information.
  • Experience with ADP Workforce Now preferred.
  • Basic knowledge of employment and labor laws.
  • Ability to handle multiple tasks and demonstrate superior prioritization skills as well as the ability to work well under pressure in a high-energy fast paced environment.
  • Critical thinker, with excellent analytical abilities essential.
  • Ability to maintain thorough and open communications - whether the information is positive or negative, by relaying this information as quickly and accurately as possible to the Chief Human Resources Officer and other affected team members.
  • Experience with viLMS or other learning management system.
  • Working knowledge of Continuing Legal Education rules and regulations.
  • Ability to travel occasionally.

QUALIFICATIONS

  • Bachelor’s Degree required (or applicable military work experience).
  • Three (3) years or more experience in human resources, preferably for a law firm or professional service firm.
  • Human Resources Certification desired
  • Knowledge of ViGlobal a plus

PHYSICAL REQUIREMENTS

  • Occasionally lifts objects weighing up to 10 pounds.
  • Frequently reaches and grasps with arms and hands; occasionally stoops and bends; must have manual dexterity.
  • Ability to closely examine and inspect materials.
  • Ability to identify and distinguish colors.
  • Ability to travel as needed.
  • Frequently uses a keyboard to enter or transform words or data.
  • Work is performed in a normal office environment where there are few physical discomforts due to dust, dirt, noise, and the like.
