SUMMARY

The Senior Legal Assistant provides support on internal administrative initiatives at the direction of the Managing Partner, Partners, Client Team Leads, Attorneys, Managing Directors, Directors, Senior Advisors, and Advisors. The Senior Legal Assistant will provide assistance in all phases of client engagements. The Senior Legal Assistant will draft, review, and edit legal documents and be the subject matter expert for proofreading and formatting materials according to the Firm’s style guidelines (performing “NIT review”). The Senior Legal Assistant will perform non-legal research and draft memoranda on various client matters and assist in the preparation of legal documents, reports, memoranda, letters, and invoices. This position will set the standard for organizing and maintaining important documents in a digital central filing system and help to develop, monitor, and continuously improve the Firm’s e-filing standards. Candidates must be located in the Washington, DC Metro or Chicago Metro area.

This position is remote but requires availability to rotate in-office 1-day per week.


ESSENTIAL DUTIES, TASKS, AND RESPONSIBILITIES

  • Create and modify documents such as reports, memoranda, letters, invoices, marketing materials, and financial information using Microsoft Office (e.g., Word and PowerPoint), and/or other presentation software or programs.
  • Meticulously review, edit, and cite check legal documents and act as a subject matter expert for NIT reviews.
  • Assist in the drafting, organization, and editing of client deliverables, including careful review of deliverables for completeness and standardization of style and format.
  • Oversee logistics of actual delivery, including printing, media generation, and physical presentation to clients.
  • File documents electronically in both state and federal courts.
  • Document meeting minutes and interview notes and circulate to client and/or administrative teams for review and finalization.
  • Be responsible for projects and special assignments, as needed, with limited supervision.
  • Assist case teams in the development of materials in support of client matters.
  • Coordinate client communications, including but not limited to, setting up meetings and coordinating schedules.
  • Conduct non-legal research, assemble, and analyze data to prepare reports and other materials.
  • Review and summarize miscellaneous business and operation materials, including preparation of summary background documents and communications as necessary.
  • Prepare agendas for and attend Firm and other meetings as requested, including recording and distributing meeting minutes.
  • File and maintain client documents and correspondence on Firm network storage systems / software as specified by the Firm and/or client teams.
  • Under the direction of the Senior Manager, Practice Management/Client Services work in concert with the IT Manager to maintain, update, and revise Firm Forms used by Legal Assistants.
  • Perform general clerical duties to include copying, faxing, mailing, filing, and retrieving documents, records, and reference materials.
  • Maintain confidentiality in all aspects of client and staff information.
  • Interact with Firm personnel, clients, and vendors.
  • Work collaboratively and efficiently in a fast-paced, team-oriented environment on all matters.
  • Track billable and non-billable time, expenses, and other administrative tasks.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.


QUALIFICATIONS

  • Bachelor’s degree or higher preferred or related work experience
  • Paralegal Certificate preferred
  • 7-10 years of experience in the legal field or in a related area preferred
  • Solid understanding of both office and legal processes and procedures.
