We are currently seeking candidates to fill a Corporate Paralegal/Legal Assistant role to support the Legal Department in the Americas.

Job Summary

As a Corporate Paralegal you will be a key member of the Legal Department, responsible for supporting attorneys on a variety of matters including commercial contracts, operations, litigation, and related administrative support. You will also be counted on to bring a high degree of order (document management, filing, software administration) to the Legal Department.

Job Functions

  • Oversee the organization and management of the Legal Department’s physical and electronic files.
  • Oversee the management and tracking of legal matter intake and contract management process,
  • Assist in updating of data in legal task management software tool.
  • Review of contracts, such as NDAs and certain template agreements.
  • Assist in Legal Department activities such as collecting relevant information, agreement terms and documents from stakeholders for ongoing projects, negotiations, open legal questions and to respond to interrogatories, requests for production and third-party subpoenas, as well as other similar matters.
  • Assist with managing outside counsel and external legal spend through Legal Tracker.
  • Manage requests for documents or information from Legal Department or stakeholders in a timely and accurate manner.
  • Support the maintenance of corporate records, including state filings, business licenses, shareholder records, board meeting minutes, and corporate resolutions.
  • Perform special projects and other related duties as assigned or requested.
  • Assist in the creation of presentation materials as needed.
  • Work closely and collaboratively with all members of Legal Department to develop and implement key legal processes and systems company wide and oversee clerical tasks as needed.

Qualifications

  • Associate degree or higher; Bachelor’s Degree preferred.
  • Paralegal certification and/or 5+ years of relevant experience in corporate in-house departments or at a large law firm.
  • Superior written and oral communication, organizational, and problem-solving skills.
  • Fluency in a second language (Spanish, Mandarin, Japanese, etc.) is a plus, but not required.
  • Experience with a global automotive or manufacturing company is a plus.
  • Knowledge of basic legal and litigation terminology and principles.
  • Knowledge of basic contract clauses, drafting, legal routing processes and contract lifecycle management.
  • Demonstrated ability to create workflows and process improvements.
  • Experience with software for contract lifecycle management and external counsel management.
  • Strong proficiency with Microsoft Office, Office 365, Adobe, PowerPoint, Westlaw, SharePoint, document management software, and other applications and litigation tracking software, such as Legal Tracker and Legal Hold Pro.
  • Discretion, sensitivity, and tact in handling internal and external confidential matters.
  • Positive attitude and demonstrated ability to handle multiple tasks in a team-based structure and consistently meet deadlines.
  • Assisting with notarization of documents US and abroad (being qualified as a notary public in the US would be a plus)
