Job Description
Toledo Clinic's Endocrinology Department, located on our main campus at 4235 Secor Rd Toledo, is seeking a full-time MA/Office Coordinator to oversee the day to day operations while performing both clerical and clinical MA duties.

This position will assist with phones, schedule appointments, handle pre-certs, referrals, and some billing. This position will also back up the clinical staff as needed. Qualified candidates will have previous experience in a lead or supervisory position with an active MA credential or nursing license.

The hours are M-Th (8-4:30) and F (8-4) with no weekends, holidays, or late evenings. Benefits are offered!



Supervision Exercised:

Oversees the day-to-day operations and supervises departmental staff.

General Summary:

Responsible to oversee the daily operations of the office, personnel management, and enforcement of clinic policies and procedures. Acts as liaison to Administration.

Works under the supervision of the attending physician(s). Provides both clinical and clerical support which includes backing up the clinical staff when necessary and provided support in the front office (phones, scheduling, prior auths, referrals, billing).

Principal Duties & Responsibilities:

Example of Essential Duties:

  1. As directed, delegates responsibilities to others and oversee that staff members are performing their functions correctly. Informs providers any recommendations for improvement.
  2. Completes necessary payroll forms and authorize/deny overtime or PTO time requests.
  3. Effectively communicates with the providers and staff and keep them updated on issues of concern.
  4. Attends medical office manager meetings.
  5. Maintains personal relations with patients and addresses and resolves patient complaints or concerns.
  6. Maintain adequate equipment and supplies.
  7. Performs clinical and/or clerical work for the physician. Provides clinical support when needed. Works alongside of staff to provide clerical support. Answers phones, schedules appointments, handles referrals, prior auths, and billing needs.

Other Essential Duties May Include (but are not limited to):

  1. Complete medical coding and billing paperwork and/or handle collections.
  2. Other duties as assigned.

Knowledge, Skills & Abilities Required:

Required:

- Previous medical office experience required along with previous supervisory experience.

- Adheres to, and ensures department’s compliance with, the clinic’s policies and procedures and governing rules and regulations.

- Assists with recruitment, retention, discipline and training of staff.

- Demonstrates adaptability to expanded roles.

- MA credential (RMA,CMA,CMA) or nursing license is required.

Education:

- HS diploma or GED required.

- Medical related certification, Associates or Bachelors degree preferred.
