Job Title: Office Administrative Assistant

Location: Cocoa, Florida

Position Type: Full-Time, Salaried (with benefits after 90 days)

Reporting To: President of the Company

Job Description:

As the Office Administrative Assistant reporting directly to the President of the company, you will play a pivotal role in ensuring the smooth operation of our office and providing crucial support to executive and management teams. Your responsibilities will encompass various clerical and administrative tasks aimed at enhancing organizational efficiency and productivity.

Key Responsibilities:

  1. Office Management:
    • Maintain a well-organized and efficient office environment.
    • Manage incoming calls, emails, and correspondence, redirecting them as necessary.
    • Oversee office supplies inventory and ensure adequate stock levels are maintained.
    • Coordinate office maintenance activities and liaise with vendors as needed.
  2. Administrative Support:
    • Assist the President and other executives with scheduling appointments, meetings, and travel arrangements.
    • Handle expense reports and reimbursement processes efficiently and accurately.
    • Prepare and distribute documents, presentations, and reports as required.
    • Maintain confidentiality and discretion in handling sensitive information.
  3. Calendar Management:
    • Manage and update calendars for executive and management teams, ensuring accuracy and timeliness of scheduling.
  4. Assistance to Sales Team:
    • Support the outside sales team with various administrative tasks.
    • Assist in coordinating marketing projects and initiatives as directed.

Qualifications and Skills:

  • Proven experience as an administrative assistant or office administrator.
  • Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong communication skills, both verbal and written.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and a high level of accuracy in work.
  • Discretion and confidentiality in handling sensitive information.
  • Prior experience in supporting executive-level staff preferred but not required.
