Responsibilities of the Office Assistant:
Accounts Payable:
Match purchase orders, delivery receipts, and invoices to verify proper documentation
Prepare and process check runs, electronic payments, and wire transfers
Maintain organized records of all accounts payable transactions
General Administrative Support:
Answer and direct phone calls, emails, and inquiries to the appropriate personnel
Manage and organize office filing systems, both physical and digital
Assist with document preparation, photocopying, and distribution
Data Entry and Record Keeping:
Enter financial and operational data into the company's accounting software
Maintain accurate and up-to-date records of financial transactions
Assist in the preparation of financial reports and summaries as needed
Communication:
Communicate effectively with vendors, subcontractors, and internal teams
Provide support in drafting routine correspondence and documentation
Office Supplies and Equipment:
Monitor and replenish office supplies as needed
Coordinate maintenance and repairs for office equipment
Qualifications of the Office Assistant:
College Degree preferred
Proven experience in an office environment
Proficient in Microsoft Office Suite
Strong organizational and multitasking abilities
Excellent communication and interpersonal skills
Attention to detail and accuracy in data entry
Ability to work independently and collaboratively within a team
Knowledge of construction industry processes and terminology is an advantage
